General Task Description
Entering credit card charges, including proper job costing and receipt tracking.
Manage the AP mailbox and distribute bills to the Project Managers for review and approval. Update bills upon PM approval.
Record all non-job accounts payable appropriately.
Enter job estimates into QuickBooks.
Accurately record receipt of inventory purchased from vendor invoices.
Review inventory totals and address discrepancies.
Making travel reservations for domestic and international travel.
Organize international shipping.
Health Insurance and benefit renewal and tracking.
Renew and update all Company licenses and certifications as necessary.
Process regular 401K contributions.
Process payroll occasionally as a back-up.
Timekeeping review and approval.
Vacation and unpaid time off tracking.
Assist the project managers in preparation of project invoices.
Completion of annual insurance renewal paperwork. Including assisting with employee health insurance renewals.
Review EZ-Pass activity regularly and make updates to account as necessary.
Support and train other employees as necessary.
Physical Requirements
Minimum 40-hour work week, 8 hours per day. May be required to work additional hours and on weekends
Typically, 5-7 hours per day sitting at desk and using a computer (at Company Office)

Required Skills
Proficient in multiple software programs including Outlook, Word, Excel, and Adobe.
Must have excellent oral and written communication skills.
Must have a strong background in QuickBooks Desktop and advanced QuickBooks features such as estimates and inventory tracking.
Ideal Candidate should be able to multi-task and manage competing priorities in a fast-paced environment.

Attendance and Reliability Administrative Financial Assistant is a full-time, salaried position, and they are expected to spend the required amount of time to assist the company with administrative and financial tasks identified.
Dress Code Business / Business Casual is required in office and when meeting with clients and other business meetings. Employees must be clean and well-groomed. Attire must be work appropriate and not distractive in any way.

Salary range is dependent on experience. To start: $46,000 - $65,000
