Position Overview A prestigious international law firm is seeking a polished and proactive Front Desk Associate to serve as the face of the office and support front desk, conference center, and client services operations. This role is ideal for someone with prior law firm reception or client services experience who thrives in a professional, fast-paced environment and takes initiative.

Key Responsibilities
Act as the first point of contact for the office, providing a polished, professional, and welcoming experience for clients, attorneys, and visitors
Manage all front desk operations, including greeting guests, answering and routing calls, and maintaining visitor security protocols
Oversee conference room operations by scheduling meetings, coordinating room setups, managing AV needs, and ensuring spaces are client-ready
Coordinate catering for meetings and events, including placing orders, setup, service coordination, and breakdown
Deliver a concierge-style level of client service, responding promptly and accurately to requests from attorneys, staff, and visitors
Maintain accurate conference room reservations and visitor details within internal scheduling systems
Support special arrangements such as transportation, restaurant reservations, travel coordination, and lodging as needed
Ensure reception, conference rooms, pantry, and common areas remain organized, stocked, and presentation-ready at all times
Assist with administrative tasks including expense processing, invoice handling, time entry, scanning, copying, and mailing
Communicate proactively with management regarding service issues, scheduling conflicts, or facility needs
Uphold the highest standards of confidentiality, discretion, and professionalism in all interactions
Required Qualifications
Minimum 3 years of front desk or client services experience
Bachelor’s degree required
Prior catering and conference room coordination experience
Strong technical skills; comfortable with Microsoft Office and learning new systems
Experience with expense reporting and administrative support tasks
Professional appearance and demeanor suitable for a front-facing legal environment
