Project Coordinator / Virtual Assistant Senior Level
Essential Duties and Responsibilities include the following.
Works with team to continually improve work order processes. (after fully trained)
Works with Asset Management team for inventory pulls when necessary.
Processes customer deposits and CC payments, when required.
Tracks sustainability and reports monthly, quarterly, or annually
Ensures invoices from vendors are accurate, while also ensuring PO’s are cut and sent to AP in a timely manner.
Sends daily invoicing notifications to accounting
Gathers all information uploaded by the AE in the CRM and creates a thorough Labor Quote Request for Estimating.
Completes New Customer Set-Ups
Distributes order information to internal team members
Attends daily or weekly huddles to coordinate scope requirements – attend remotely via web conference
Schedules meetings with team members as needed.
Creates service work orders and schedules projects by providing detailed scope of work, scheduling instructions, and delivery and installation information
Schedule pick-ups and delivery of rental equipment
Work with Project Coordinator and Order Management on procurement of product.
Manages project close-out and ensures timely completion of punch‑list items
Works closely with Accounting Team on AR and AP issues and resolves them on a timely basis
Generates and submits Time Report to Relocation Account Executive for review if something looks incorrect.
Completes invoices of service work orders on a daily basis
Create and invoice Change Orders in Khameleon
Helps other Service Team members with various tasks
Attends & participates in weekly and monthly Service Team meetings
Key Qualifications include the following.
Advanced skills in MS Office highly desired

Other Requirements
Associates Degree
2‑3 years’ experience in customer service
Must be able to pass a criminal background screening
Working hours must include coverage during the core hours of 9:00 a.m. to 3:00 p.m. CST
Shift / Hours:
Monday – Friday in one single shift, 9:00 AM CST – 6:00 PM CST . Note this is +13 or +14 Philippine time, which will be 1:00 PM PH – 8:00 AM PH .
