Energy Access Innovations
The Travel Administrator provides operational, administrative, and logistical support across multiple functional areas within Business Administration. While this role’s primary responsibility includes supporting travel, corporate housing, fleet, and related reporting, the Specialist also assists with broader administrative duties including vendor coordination, data tracking, process documentation, and enterprise support activities. This position is remote, with travel to headquarters in Sulphur Springs, TX.
Key Responsibilities
Maintain and monitor the Travel portion of the Concur travel and expense platform for workflow routing and user support (no financial coding or accounting review).
Assist employees with travel and travel expense administration, documentation requirements, and troubleshooting.
Monitor unused tickets, track available credits, and ensure they are applied to future bookings.
Manage airline, hotel, and rental car reward programs to maximize enterprise value.
Coordinate group or project-based travel when needed to leverage cost efficiency.
Maintain documentation for preferred vendors and negotiated rates.
Maintain inventory and records of corporate housing units and fleet vehicles.
Track housing occupancy, lease terms, renewals, vehicle assignments, mileage logs, and maintenance schedules.
Track repairs, fuel usage, registrations, and compliance documentation.
Prepare monthly utilization and cost reports for both housing and fleet.
Support move-in/move-out processes, unit readiness, and vehicle service coordination from a scheduling/tracking perspective.
Prepare monthly and quarterly operational reports for travel activity/cost, expense submission compliance, housing utilization, fleet status, and related metrics.
Track KPIs such as total travel volume, unused ticket credits, housing occupancy, and fleet maintenance schedules.
Identify trends and support continuous improvement recommendations.
Assist with vendor coordination and basic procurement needs.
Support document management, repository upkeep, and file versioning.
Help prepare reports, trackers, and dashboards for leadership.
Support enterprise initiatives, audits, and policy alignment efforts.
Support Business Administration leadership with audits and process reviews.
All other duties assigned.

Qualifications
2–4 years of experience in business administration, operations support, or travel/expense coordination preferred.
Familiarity with Concur or similar systems is a plus.
Skilled in Excel, Teams, SharePoint, and basic reporting tools.
Strong communication and collaboration skills.
Detail-oriented with strong organizational and follow-through.
Demonstrated self-motivation and creative problem-solving abilities, especially in dynamic or fast-changing environments.
Able to maintain professionalism and discretion while working closely with leadership teams.
Demonstrated ability to take initiative, build relationships, and contribute to a service-oriented team culture.
