Qualifications Education
High School diploma or equivalent (e.g., GED, homeschool equivalency, partial or full post‑secondary completion)
Experience
Four years of secretarial, clerical support or related experience, including one year in a healthcare setting
Licenses and Certifications
No specific licenses or certifications required
Skills and Abilities
Demonstrates the necessary skills and competencies to safely perform the job, as assessed through ongoing evaluations
Proficiency in speaking, reading, and writing English; especially for activities affecting patient or employee safety
Effective communication with patients, physicians, family members, and coworkers, with a customer‑service focus and positive language principles
Professional demeanor at all times
Strong analytical and problem‑solving skills, using good judgment in high‑stress environments
Independent judgment and multitasking abilities
Professional handling of confidential information
Collaboration with management, medical staff, and employees at all organizational levels

Serve as preceptor and mentor for less experienced staff; coordinate training on department processes
Ensure resources are available for scheduled meetings and department activities
Coordinate office staff schedules to maintain smooth operations
Identify and resolve customer problems with professionalism and compassion
Promote teamwork and effective communication between patients and medical staff
Role model healthy work relationships and recommend initiatives to improve employee engagement scores
Service Essential Functions
Coordinate routine duties such as reception, scheduling, supply ordering, and patient requests
Compile and compose correspondence, reports, and presentations using appropriate software
Implement routine changes in department processes independently; maintain accurate files and records
Establish a safe, harmonious environment and drive improvements in customer service and department KPIs
Quality/Safety Essential Functions
Define and resolve problems, following managerial review, and investigate internal/external complaints
Protect patient privacy and maintain confidentiality of sensitive information
Participate in quality improvement processes and support Environment of Care rounds
Contribute to improving department quality and safety scores
Finance Essential Functions
Use department resources efficiently to maximize operational budget and maintain supply levels
Process requisitions, vouchers, purchase orders, and capital/project materials responsibly
Prioritize tasks to minimize overtime and support team time management
Growth/Innovation Essential Functions
Identify innovative solutions for process improvement benefiting patients, visitors, and the department
Pursue continuous professional development and update the My Development Plan regularly
