As a Local Facility Management Coordinator at the Bensenville site, you’ll be the first point of contact for visitors, customers, and employees, handling reception, facility duties, supply ordering, event coordination, conference room setup, and accounts payable. How you create impact

Finance & Procurement

Process and track payables and purchase orders in alignment with company policies, transferring e‑bills, reviewing outstanding payables, and tracking disputes. Liaise with vendors and finance teams to ensure timely payments and accurate documentation. Maintain records of office expenditure. Main liaison for facility management service suppliers (e.g., JLL). Office Supplies & Equipment

Manage inventory and ordering of office supplies and consumables. Coordinate equipment maintenance and service schedules for office machinery and facility systems. Ensure workspaces are functional, clean, and well‑stocked. Maintain office floor plans and provide them on request. Implement new suppliers and oversee accounts for national conference call vendors. Oversee and track utility costs. Security

Monitor office security systems (CCTV) and access controls, acting as first point of contact for the alarm company and maintaining service records. Main contact for Security Service Providers. Coordinate visitor planning, meeting room scheduling, and set‑up with the Station Manager. Support investigations and report any security incidents to the Director of Security. Partnering with QSHE Team

Complete monthly reporting of utilities and usage data. Participate or coordinate emergency preparedness and safety training sessions, such as evacuation or emergency drills, when requested. Maintain updated emergency response plans. Project Coordination

Assist in planning and executing office and facility‑related projects (e.g., renovations, relocations, upgrades). Track facility‑related project timelines and deliverables. Employee Engagement & Support

Organize office lunches, employee/team‑building activities, and wellness events. Provide initial support and guidance to employees in need. Support human resources‑related responsibilities, including onboarding logistics, policy communication, and direct employee inquiries to HR. What we would like you to bring

1+ years of office administration or workplace experience coordination preferred. Time management and accountability/ownership skills to meet project deadlines. Proficient with Microsoft Office, including Excel. Excellent organization, communication, and multi‑tasking skills in a collaborative team environment. Bachelor’s degree, a plus.
