Regency Fibers is seeking a detail-oriented and reliable Office Manager to support daily administrative, accounting, and human-resources functions. This position will be filled in advance of the retirement of our current Office Manager to allow for a structured transition and hands‑on training period.
The Office Manager plays a key role in ensuring accurate billing, purchasing, payroll coordination, and the smooth operation of the office. The position requires strong organizational skills, comfort with ERP software, and the ability to handle confidential information with professionalism and discretion.
Key Responsibilities Accounting & Office Administration
Receive, review, and route incoming vendor invoices
Perform shipping data entry and customer billing
Issue purchase orders and track confirmations
Maintain organized physical and electronic filing systems
Manage general office paperwork and records
Help with month‑end processes and activities
Assist with basic accounting functions and reporting as needed
ERP & Data Entry
Enter and maintain accurate data within the company’s ERP system
Support order processing, invoicing, purchasing, and shipping workflows
Coordinate with internal departments to resolve data or documentation discrepancies
Learn and follow established procedures for system accuracy and controls
Payroll & HR Support
Serve as the primary liaison with the company’s payroll provider
Coordinate payroll submissions and resolve routine payroll questions
Assist with front‑line HR activities such as:
New‑hire paperwork
Employee records maintenance
Benefits coordination support
Responding to basic employee questions
Administer attendance program and maintain employee records
Coordinate Employee PTO requests
Handle sensitive employee and payroll information confidentially and appropriately
General Office Support
Serve as a professional point of contact for customers, vendors, and visitors
Answer and direct incoming phone calls
Support management with administrative tasks as needed
Manage daily incoming/outgoing mail
Help maintain orderly office operations and workflows
Qualifications Required Qualifications
Proficiency with computers and general office software
Basic accounting knowledge and comfort working with invoices, billing, and purchase orders
Experience or comfort using ERP software
Strong attention to detail and accuracy
Ability to manage confidential and sensitive information with discretion
Strong organizational skills and ability to manage multiple tasks
Clear written and verbal communication skills
Preferred Qualifications
Prior experience in a manufacturing or industrial office environment
Familiarity with ERP systems used for accounting, purchasing, and shipping
Knowledge of SAGE ERP software (preferred but not required)
