About the Role:
The Warehouse Coordinator blends traditional warehouse responsibilities with opportunities to learn and contribute across operations and supply chain. This role manages inventory accuracy, streamlines shipping and receiving, and ensures that instruments, consumables, and parts reach customers on time and in compliance with requirements. You will also work closely with the Operations Manager on procurement, reporting, and vendor coordination, while serving as a critical link between Sales, Service, and Logistics teams. Success requires a detail-oriented mindset, strong organizational skills, and the ability to thrive in a fast-paced, cross-functional environment.
Responsibilities:
Procurement & Production Support
Place and track purchase orders for instruments, parts, and consumables.
Maintain relationships with vendors and follow up on order status or delays.
Monitor stock levels and proactively replenish materials to avoid disruptions.
Coordinate the assembly and packaging of Bill of Materials (BOM) items for stocking and fulfillment.
Warehouse & Inventory Management
Handle incoming deliveries, process customer returns, and prepare outgoing shipments.
Generate shipping labels and compliance paperwork (e.g., BOLs, customs/export documents) to support both domestic and international orders.
Partner with Sales and Service on warranty returns and replacement parts.
Conduct cycle counts, reconcile inventory discrepancies, and maintain system accuracy in Fishbowl, Salesforce, and related platforms.
Cross-Functional Support & Reporting
Serve as a point of contact between Sales, Service, and Logistics, providing timely updates on order status, tracking information, and parts availability.
Maintain reporting, including Total Reports, Fulfillment Reports, and Inventory Reports, ensuring accuracy and accessibility.
Maintain updated schedules and documentation in SharePoint for organizational visibility.
Requirements:
2+ years of experience in inventory control, or entry-level operations, procurement, or supply chain coordination. A degree in Operations, Logistics, Supply Chain, or similar fields a plus. Experience with international shipments or hazardous materials handling is a plus.
Familiarity with inventory management or ERP systems (e.g., Fishbowl, WMS, Salesforce). Proficiency in Microsoft Office Suite (Excel, Outlook, SharePoint).
Clear and professional verbal and written communication skills. Professional, polished demeanor. Strong ability to maintain accuracy under deadlines and resolve challenges quickly.
Team-oriented mindset with the flexibility to work across multiple departments. Self-motivated, goal-oriented, and comfortable balancing multiple priorities across teams. Eager to learn, take initiative, and contribute to company goals and KPIs.
Ability to lift up to 50 lbs and perform warehouse-related tasks including standing, stooping, crouching, reaching, and handling.
