ProPivotal
Senior Administrative Partner
We’re looking for a Senior Administrative Partner to support a high‑profile faculty member at a globally respected academic institution. This is a hands‑on role for someone experienced in complex calendar coordination, course logistics, and administrative operations.
Please note: Candidates without 3+ years of direct, recent experience managing complex calendars will not be considered. Calendar management supporting a senior faculty member is the most critical part of this role.
Must‑Haves:
3+ years of proven experience managing high‑volume, dynamic calendars for a senior staff member
Ability to stay in close contact with your manager throughout the day to confirm scheduling details and resolve conflicts
Key Responsibilities:
Coordinate and align a packed meeting schedule in close collaboration with the faculty member, who maintains their own calendar and meets with internal and external stakeholders throughout the day
Organize travel and logistics, including itineraries and accommodations
Manage support for a popular graduate course
Assist with academic events, such as conferences, small workshops, and class dinners
Pay: up to $35/hour.
The schedule is Monday–Friday from 9:30 am – 6:00 pm in Cambridge.
You will be working with a popular faculty member at one of the most well‑known universities in the world. This is a great opportunity for professional development for someone looking to jump into a senior administrative role. There are also great benefits for working on campus, and this department is forward‑thinking and culture‑first; a majority of the current staff has been there for multiple years.
ProPivotal is an equal opportunity employer and considers qualified applicants for employment regardless of race, gender, gender identity, gender expression, age, color, religion, disability, veteran's status, sexual orientation, or any other protected factor.
