Job Description The Mail and Filing Clerk performs administrative tasks in sorting, copying, filing, and mailing the law firm’s legal documents, ensuring proper distribution to opposing parties, clients, attorneys, and the court. The clerk also enters data in the case management system and manages destruction of closed files.

Company Description Starting position for anyone entering the legal field. No experience required initially. Clerk responsibilities are basic but require thoughtful organization. The position can lead to a full-time legal assistant role, which includes interviewing clients based on scripted intake.

Responsibilities

Retrieve firm’s mail from the post office and mailbox.

Sort mail between court correspondence, documents, and vendors.

Scan, copy, and save legal documents and correspondence.

Mail and email legal documents to clients, opposing parties, the court, and vendors.

Pull physical files from the filing cabinet and place them on the attorney’s desk for next day’s scheduled clients.

Place files back into the filing cabinet after attorney or paralegal use.

Enter data into the firm’s case management system.

File documents into the client’s paper file.

Organize paper files.

Destroy or disposition closed case files.

Assist attorneys and other staff as needed, including witnessing the execution of estate plans.

Key Performance Indicators

No backlog; mail sorted, copied, and mailed daily and correctly.

No backlog of files by the end of the week.

Professional dress every day.

Accurate data entry of client information into the appropriate electronic file.

No unapproved overtime worked.

No more than three unplanned absences, late arrivals, or early departures within a rolling 90‑day period.

Zero substantiated complaints about customer service, language, behavior, or professionalism from internal or external customers.

Reporting Relationship The clerk works under the direction of the business manager, paralegal(s), and one or more attorneys. The firm’s Owner manages the employment relationship.

Authority & Confidentiality The clerk is prohibited from practicing law. All work and handling of legal documents must be kept confidential. Breach of confidentiality leads to immediate termination of employment.

Requirements

Position is not virtual; applicant must work in‑person at the office.

Reliable transportation and a valid driver’s license are required.
