The Administrative Assistant plays a vital role in supporting the administrative and operational function of our accounting offices. This individual will coordinate appointments and communications, assist with client services, manage office workflows, and help maintain smooth day-to-day operations across multiple office locations.
Qualifications
Proficiency in QuickBooks and Microsoft Office Suite required
2+ years of experience in an executive assistant or similar administrative role
Experience in accounting or tax industry is a plus
Strong organizational and multitasking skills with the ability to prioritize and meet deadlines
Excellent written and verbal communications skills
High level of professionalism, discretion, and confidentiality
Strong attention to detail and commitment to accuracy
Positive attitude and ability to work independently and with a team
Strong problem‑solving skills and the ability to work with minimal supervision
Experience managing multiple calendars and scheduling meetings
Ability to adapt quickly to new software or digital tools: “tech‑savvy”
Key Responsibilities
Schedule and coordinate meetings, appointments, and phone calls for staff
Ensure staff is prepared for scheduled meetings, appointments, and calls
Answer and screen incoming calls and emails, directing information appropriately to ensure timely responses
Support tax season activities, including intake and organization of tax return materials for new and existing clients and distribution of finalized tax documents to clients
Maintain organized and confidential physical and digital filing systems
Order office supplies and coordinate deliveries for multiple office locations, as well as run occasional office errands
Prepare client invoices and assist with accounts receivable, collections, and payables
Build and maintain positive relationships with clients, colleagues, and external partners
Provide support on special projects and research, as needed
