Administrative Assistant
We are looking for a reliable and detail-oriented Administrative Assistant to work closely with our Executive Assistant and support our leadership team and multiple departments. This role focuses on administrative coordination and day-to-day support to help keep the organization running smoothly. The Administrative Assistant will assist across our Commercial, Construction, Multifamily, Hospitality, and Executive teams and must be comfortable handling a wide range of tasks while maintaining organization, confidentiality, and professionalism.
Our company owns and self-manages a diverse portfolio of multifamily, commercial, and hospitality properties across Pennsylvania, Florida, and New Jersey, in addition to a growing tequila brand. This position requires sound judgment, strong organizational skills, and the ability to anticipate needs before they arise.
Key Responsibilities
Schedule meetings and travel while managing competing priorities and ensuring timely communication
Handle, prioritize, and direct incoming calls, emails, and correspondence
Draft, edit, and review correspondence and documents for executives
Assist with personal tasks such as bill payments, appointment scheduling, and travel arrangements
Maintain and organize electronic and paper files to ensure easy access and accurate recordkeeping
Take meeting minutes and distribute notes, as appropriate
Provide administrative support across departments including Commercial, Construction, Multifamily, Hospitality, and Executive teams
Order, track, and maintain office supplies
Handle sensitive and confidential information with discretion
Perform other duties as assigned
Qualifications
3+ years of experience in an administrative or office support role
Strong organizational skills and attention to detail
Ability to manage multiple tasks and shifting priorities
Clear and professional written and verbal communication skills
Comfortable working collaboratively and taking direction from senior staff
Proficient in Microsoft Office, Google Workspace, and general office tools
Working Conditions Works in a collaborative office environment
Physical Demands
Ability to physically access all interior parts of the office
Ability to push, pull, lift, carry, or maneuver items with a weight of up to twenty (20) pounds independently and fifty (50) pounds with assistance
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Additional Responsibilities
Handle and coordinate active calendars
Greet visitors, handles incoming calls and performs general administrative duties
May also assist other administrative staff with overflow work, including word processing, data entry and internet research tasks
Provides callers with company information as needed
May also assist with other clerical duties such as mail sorting and overnight packages
Professional customer-service approach is expected
Excellent verbal and written communication skills are required

HOURS: Full-time
QUALIFICATIONS:
● Have a personal relationship with Jesus Christ.
● Be a member in good standing of a Baptist congregation.
● Have a desire to teach and mentor youth with patience and an accepting heart.
● Have a passion for leading and equipping Christians to disciple others.
● Have experience in teaching youth in an educational or Christian setting.
● Pass a mandatory background check.
● Be proficient with computers and social media.
● Have a related Bible college or seminary degree (preferred).
● Have a willingness to join, endorse, and support Scottsville Baptist Church and her mission as well as the ministries of the worldwide work of the Southern Baptist Convention.
PURPOSE OF POSITION:
● To ignite a desire for a genuine relationship with Christ and to equip the youth for the spiritual battle they are in.
● To partner with parents and help them disciple their teenagers.
● To lead and equip all generations to make disciples.
RESPONSIBLE TO:
● Senior Pastor and Personnel Committee. (Evaluations will be conducted after the first 6 months and annually thereafter by the Senior Pastor and will be reported in writing to the Personnel Committee.)
JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO:
YOUTH MINISTRY
● Oversight and leadership of the youth ministries (7th-12th grades). This includes regularly scheduled activities for youth during church meeting times (e.g., Sunday School, Wednesday nights), special events, etc.
● Creating, planning, and leading special events and trips for youth and families such as D-Now weekends, camps, trips, holiday-themed events, Youth VBS, mission trips, etc. These events will be placed on an annual calendar and submitted to the Senior Pastor.
● Planning and implementing creative, relevant, new ideas within the ministry.
● Recruiting, training, praying for, and involving new and current youth ministry volunteers.
● Managing the ministry’s budget efficiently and effectively and submitting an annual budget proposal to the Finance Committee for approval.
● Communicating consistently with parents as well as providing the tools they need for spiritual leadership.
● Choosing curricula and other teaching materials for youth areas, upon approval of the Senior Pastor.
● Connecting new individuals and families in creative ways to our church through the youth ministry.
● Other duties as assigned by the Senior Pastor.
DISCIPLESHIP MINISTRY
● Oversight and maintenance of all discipleship activities within the church. This includes but is not limited to Sunday School, weekly small group Bible studies, etc.
● Communicating regularly with discipleship leaders within the church and providing them with necessary resources, including materials and training.
● Working with the Senior Pastor in creating new Bible study classes and discipleship opportunities.
● Working with the Nominating Committee and the Committee on Committees in enlisting qualified workers for leadership in discipleship areas.
● Managing the ministry’s budget effectively and efficiently and submitting an annual budget proposal to the Finance Committee for approval.
● Planning and implementing creative, relevant, new ideas within the ministry.
● Choosing curricula and other teaching materials for discipleship classes, upon approval of the Senior Pastor.
● Connecting new individuals and families in creative ways to our church through the discipleship ministry.
● Other duties as assigned by the Senior Pastor.
OTHER GENERAL EXPECTATIONS INCLUDE:
