Administrative Assistant

We are looking for a proactive and detail-oriented Administrative Assistant to join our team in Phoenix, Arizona. In this contract to permanent position, you will play a key role in supporting daily operations and ensuring smooth communication across departments. This role requires exceptional organizational skills and the ability to multitask effectively in a fast-paced environment.

Responsibilities:

  • Manage incoming calls and provide prompt, attentive assistance to callers.
  • Deliver excellent customer service by addressing inquiries and resolving issues efficiently.
  • Perform accurate data entry tasks to maintain organized and up-to-date records.
  • Compose and respond to emails in a clear and concise manner.
  • Handle both inbound and outbound calls with a focus on effective communication.
  • Utilize Microsoft Excel, Word, PowerPoint, and Outlook to create reports, presentations, and manage schedules.
  • Coordinate and schedule appointments while keeping calendars updated.
  • Collaborate with team members to ensure timely completion of administrative tasks.
  • Maintain confidentiality of sensitive information and adhere to company policies.

Requirements:

  • Proven experience in answering inbound calls and handling customer inquiries.
  • Strong background in providing exceptional customer service.
  • Proficiency in data entry with attention to detail and accuracy.
  • Skilled in email correspondence with a detail-oriented approach.
  • Experience managing both inbound and outbound calls effectively.
  • Advanced knowledge of Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Ability to schedule and organize appointments efficiently.
  • Excellent organizational and multitasking abilities to handle various administrative responsibilities.
