Executive Assistant
Qnity's Finance team is seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to the Qnity's Finance leadership team. This role requires a proactive individual with strong communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key responsibilities:
- Provide administrative support to the Finance leadership team, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Assist in preparing reports, presentations, and organizational charts.
- Coordinate meetings, trainings, and special events (e.g., onboarding sessions, company-wide initiatives).
- Support the recruitment process by scheduling interviews, coordinating candidate communication, and managing applicant tracking systems.
- Act as a liaison between Finance and other departments, ensuring smooth communication and follow-up on action items.
- Screen phone calls, emails, and visitors, prioritize important communications, and direct inquiries appropriately.
- Provide support to the Finance PO and AP processes as necessary.
- Maintain office supplies, manage records, and ensure a smooth-running office environment.
- Contribute to special projects as assigned.
Qualifications:
- 5+ years of experience in an administrative or executive assistant role reporting to senior management, preferably within Finance or corporate environment.
- Strong knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional organizational and time-management skills.
- Discretion and ability to handle sensitive information with integrity.
- Strong interpersonal and communication skills (both written and verbal), including effective communication with internal and external stakeholders.
- Ability to work independently, take initiative and handle multiple tasks with efficiency.
Preferred qualifications:
- Bachelor's degree
- Experience with HRIS systems (e.g., Workday).
- Project coordination experience.
