Position Summary Reporting to the Dean of Professional and Continuing Studies, the Senior Department Assistant will provide high-level administrative support, providing clerical, telephone, scheduling, and general support across the school as directed by the Dean. Must be able to accommodate a flexible work schedule that includes peak cycles, extended hours, evenings, and auxiliary coverage when needed.
Essential Functions
Handles day-to-day activities for the Dean including: coordinating the Dean's schedule, scheduling rooms for meetings and conferences, receiving visitors, disseminating information, managing correspondence as directed, attending administrative meetings, and following through as directed.
On behalf of the Dean, liaise with high-level internal and external stakeholders, as needed.
Researches, analyzes, and evaluates information independently and in consultation with the Dean to support his involvement in school, University, and extra-University matters.
Prepares complex reports and presentations for the Dean's Office.
Works with Dean on new strategic initiatives and undertake additional responsibilities as needed.
Oversees specified centralized tasks for college across three campuses and covers for other clericals as needed at each of the 3 campuses.
Researches and collects data as requested.
Produces letters, memos, mailings and miscellaneous correspondence.
Processes approved requests for payments for contracts, expense reimbursement requests, credit card statements, check requests, vendor invoices, subscriptions and other items.
Prepares mailings to prospective students, applicants, admitted students, and external community contacts as needed.

Required Qualifications
Education and Experience:
High School Diploma or equivalent. Minimum of two (2) years of relevant experience.
Knowledge and Skills:
Proficiency in MS Word, Excel, and PowerPoint. Ease with building and manipulating data. Detail-oriented and able to multi-task; courteous and diplomatic; professional demeanor and possess initiative and a can-do attitude. Strong writing and organizational skills. Maintains privacy and discretion for confidential documents including transcripts, immunization records, military records and disciplinary actions. Processes confidential information in compliance with FERPA.
Preferred Qualifications
Bachelor's degree
Knowledge of MS Publisher, Access
Knowledge of Slate and Banner systems or comparable University student/CRM systems
