JOB PURPOSE
The Site Operations Coordinator serves as a key partner to site leadership to support a positive, well-organized workplace culture. This role is responsible for coordinating administrative and operational support functions that enable efficient daily site operations and a professional employee experience.
The Site Operations Coordinator plays a visible and influential role at the facility, acting as a central point of coordination for office administration, communication, and site-level processes. The position focuses on operational support, office coordination, employee-facing activities, and cross-functional communication to ensure the site runs smoothly and consistently.
Through strong organization, attention to detail, and collaboration with leadership, operations, working closely with the on-site Human Resources Generalist, and employees, the Site Operations Coordinator helps foster a structured, compliant, and welcoming environment that supports productivity, engagement, and overall site operational performance.
JOB DUTIES AND RESPONSIBILITIES
Essential Job Functions:
Serve as the primary administrative point of contact for the site.
Heavily involved in daily office operations to ensure efficiency, organization, and responsiveness.
Establish and maintain standard administrative processes, documentation, and site records in compliance with company standards.
Support site leadership with scheduling, meeting coordination, communications, and special projects.
Coordinate office supplies, equipment, vendors, and service contracts.
Recruitment & Onboarding
Serve as the onsite host for candidates during interviews, ensuring compliance with facility security and visitor requirements to ensure a professional candidate experience.
Coordinate onboarding logistics (workspace setup, badges, access, orientation scheduling/support, room set up, SWAG) in partnership with HR Generalist.
Assist HR Generalist with tracking and scheduling 30/60/90-day “check ins” with new employees to assess integration, identify potential issues early, and elevate concerns to site leadership or HR management, as needed.
Maintain facility repair station onboarding checklists and ensure all compliance-related records are completed and filed in accordance with FAA and company requirements.
Site Coordination & Management Support
Reporting to the VP, Components and dotted line to the Director of Operations to support operational priorities and site initiatives.
Assist with planning and execution of site meetings, leadership events, employee meetings, and employee communications.
Maintain and communicate the site’s employee review calendar, ensuring supervisors have up-to-date performance review templates and complete annual appraisals on time.
Track action items, deadlines, and deliverables for site leadership.
Support compliance activities, audits, and reporting assigned by site leadership.
Site & Facilities Support
Ensure visitor register is maintained and assist with customer and vendor visits as required.
Provide administrative support to the VP, Components, Director of Operations and site management, including preparation of reports and presentations.
Coordinate facility improvement initiatives, including employee feedback collection, communication of updates, and implementation support.
Support internal audits, regulatory inspections, and customer audits/visits as required.
Assist leadership with ad‑hoc projects and initiatives aimed at improving workplace efficiency, employee experience, and site performance.
Assist with office management functions at Atlanta North location and PAS as requested.
Employee Experience & Culture
Plan and manage company-sponsored employee events, including monthly budget lunches, holiday celebrations, and recognition programs within allocated budget.
Coordinate ordering and distribution of company SWAG, recognition items, and Fresh Food Market supplies.
Work with HR Generalist to develop and promote employee engagement initiatives aimed at strengthening communication, morale, and retention across the site.
Act as a visible, approachable resource for employees regarding site processes, communication, and general questions.
Help reinforce company values, professionalism, and respectful workplace standards.
Assist with budget tracking, purchase orders, invoicing, and expense management for site administrative needs.
Coordinate with corporate or shared services teams on accounting, IT, facilities, and other operational support areas.
Track and maintain site metrics, reports, and dashboards as requested.
Compliance & Training
Assist in the scheduling, tracking, and reporting of company‑mandated training, including safety, quality, and regulatory.
Support FAA Repair Station audits and regulatory reviews by ensuring training, testing, and personnel records are up to date and easily accessible.
Provide reminders to site leaders and employees regarding training deadlines, certifications, and renewals.
Facilities & Safety Support
Act as the first point of contact (POC) for all general office and facility inquiries, building access, workspace organization, and maintenance issues or concerns.
Coordinate facilities needs and maintenance requests.
Support site safety initiatives and administrative aspects of EHS programs (training coordination, documentation, communications).
Ensure the office environment supports both productivity and safety standards.
Marginal Job Functions:
Knowledge of general office clerical procedures.
Strong computer skills with expertise in Microsoft Word, Excel, and PowerPoint.
Ability to regularly exercise sound judgment.
SAFETY REQUIREMENTS

Will participate in safety activities including the following: immediately reporting hazards, unsafe work practices and accidents/injuries.
