Summary The Administrator – Haulaway Operations (Non‑Captive OEM) position will provide operational, administrative, and systems support on all new OEM customer accounts. This role supports all logistics operations from dispatching, vendor KPI management, AP/AR transactions, and TMS systems management. The position assists in overseeing active accounts such as Lucid Motors, Tesla, and International Motors, and supports onboarding and operational needs of new customers added by the Business Development team. The role works cross‑functionally with internal teams (Operations, IT, Finance, etc.) and occasionally interacts with customers as needed.
Responsibilities
Transportation Network
Monitor carrier dwell performance at ocean ports, vehicle processing centers, and rail ramps.
Take appropriate action to maintain carrier dwell within acceptable limits.
Monitor and track vehicle shipments in transit from origins to final destinations.
Provide network insight and suggestions on RFQ preparation and assist in approving new carriers.
Work closely with Business Development to develop, input, and manage transportation budgets and forecasts.
Maintain strong relationships with non‑captive clients and associated business and industry network contacts.
Carrier Invoice Processing (AP & AR)
Support all A/P truck carrier invoicing ensuring carriers are paid timely within contractual terms.
Ensure all A/R billable items are processed through the Operations Administration Department, supporting the billing team with collections as needed to ensure GLOVIS is paid within our contractual terms.
Vendor KPI Tracking
Monitor trucking KPI’s for effective measurement of logistics performance.
Help oversee and enforce countermeasures with carriers to correct deficiencies and improve performance.
Optimization of Carrier Network Routing
Support quarterly optimization reviews with carriers and recommend necessary changes to improve network performance.
Assist in conducting trucking optimization studies to ship vehicles to destinations in the most cost‑effective and expeditious manner.
Documentation & Reporting
Prepare weekly and monthly reports on vendor activity, service levels, and performance metrics.
Maintain SOPs and account files to ensure compliance and operational consistency.
Vehicle Logistics Projects
Create ad hoc reports for executive management when requested.
Special project requests from executive management.
ISO 9000 Internal Audit review preparation and management.
Core Project Management – manage all facets of Glovis Korea and Hyundai Auto Group Audits and Reviews.
Other duties as assigned.
Compensation Range
$68,000–$74,000 annually (Subject to Compensation Study Upon Candidate Selection)

Skills
Excellent written and verbal communication skills.
Proficient level PC skills.
Intermediate knowledge of MS Excel, Word, PowerPoint, and Outlook, along with experience using database systems; advanced level knowledge required.
Strong ability to identify and correct errors.
Detail oriented with ability to work in deadline‑driven environment.
Knowledge of business and management principles involved in strategic planning.
Proven ability to lead cross‑functional teams in fast‑paced environment.
Ability to train and mentor new employees.
Education & Experience
Bachelor's Degree required.
5–8 years of related experience in Logistics, Trucking, Auto Hauling, Supply Chain, Third‑Party Brokerage.
6–9 years of related experience in Logistics, Trucking, Auto Hauling, Supply Chain, Third‑Party Brokerage preferred.
Physical Requirements
Ability to sit in front of a desk and/or in front of the computer for long periods.
Repetitive use of hand/grasping product, writing, and typing.
Possibility of domestic travel – 20%.
Lift up to 20 lbs.
Carry up to 20 lbs.
Stand/walk.
Working and Environmental Conditions
Typical office environment with low‑level noise exposure.
This position is located in the Irvine, CA office.
