Licensing Assistant - AS 1 Agency: Oregon Medical Board (OMB) – a public agency that protects the health, safety, and wellbeing of Oregon residents by regulating the practice of medicine. The position is located on-site in Portland, Oregon, in our waterfront office overlooking the Willamette River.

Position Type: Employee Position Title: Licensing Assistant - AS 1 Salary: $3,705.00 – $5,066.00 per month, or $44,460.00 – $60,792.00 per year

Note: Effective 02/01/2026, the compensation plan will include a 2.5% cost‑of‑living adjustment. The listed salary does not reflect this COLA.

About the Role Licensing Assistants support applicants, hospitals, and other groups with questions about licensing requirements, processing applications, performing background checks, verifying eligibility, and maintaining public service standards in a fast‑paced team environment.

Responsibilities

Receive telephone inquiries, assess needs, and explain how to access online services.

Provide information on services, policies, and licensing requirements to hospitals, pharmacies, law enforcement, and the public, while respecting confidentiality laws.

Verify licensure for all programs (MD/DO, DPM, PA, AC) via telephone or email.

Scan, sort, and distribute incoming mail.

Document phone conversations and generate correspondence within the database.

Use training resources and statutes to answer inquiries regarding licensing qualifications.

Maintain current knowledge of applicable rules and statutes.

Perform additional duties as assigned.

Working Conditions

Office environment with occasional overtime during heavy workload periods.

Heavy public contact, including potentially hostile or upset callers.

Frequent interruptions from Board members, staff, and the public.

May encounter difficult individuals in telephone or in‑person interactions.

Minimum Qualifications

Two years of secretarial or basic administrative support experience with records processing and data management; OR

An associate degree in general office occupations and one year of similar experience; OR

An equivalent combination of education and experience.

Experience in a licensing, credentialing, certification, or accreditation environment.
