Position Title: Temporary Guidance Secretary

Location: Freshman Campus of Howell High School

Reports To: Howell High School Principal and Assistant Principals

Hours/Days:

Five(5) hours per day; Monday - Friday

Union Affiliation: HESPA

SUMMARY The High School Guidance Secretary assists, supports, and works closely with administration, front office staff and the counseling team to enhance the professional and efficient operation of the school.

ESSENTIAL FUNCTIONS

General office duties including answering the telephone, taking messages, transferring calls, answering questions, filing, copying, computer use, PA system, correspondence, and sorting/distributing mail.

Schedule calendar appointments for counselor, assistant principals, support staff and teaching staff (meeting dates, District calendar dates).

Maintain conference rooms calendar.

Must be familiar with all procedures throughout the building.

Coordinate student needs with transportation department, food service, building staff, Main Office and Media Center.

Support all offices throughout the high school.

Order envelopes, stationary, and office supplies for the counseling office.

Assist in organizing Orientation Day/Open House/Conferences.

Creating various reports from PowerSchool.

Assist with first aid and medication.

Processing incoming and outgoing students along with CA-60’s.

All grade changes and entering transfer grades on transcript.

Prints and mails report cards of parents requesting a paper copy each quarter.

ახლა Prints and mails a final Q4 report card to each student and those parents requesting an extra mailing.

Coordinating Testing Out for high school classes.

Support administration with necessary tasks for building of the master schedule.

Organizes vision screening with the help of the health department.

Coordinates Local Scholarship Night with community partners and school staff.

Collaborates with Graduation Coordinator to organize graduation ceremonies.

Facilitates enrollment of International Students with appropriate counselor.

Maintains regular,in-personattendance.

Other duties as assigned.

EDUCATION AND EXPERIENCE

High school diploma or equivalent.

Successful completion of the HPS secretarial exam- PRIOR TO APPLICATION.

Prefer prior clerical experience within a public school setting.

LANGUAGE SKILLS

Ability to effectively present information and respond to questions from administrators awastudents, staff and the general public consistent with the duties of this position.

MATHEMATICAL SKILLS

Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations consistent with the duties of this position.

Computer skills: Knowledge of Microsoft Word, Powerpoint and Excel, PowerSchool, Google mail, Google documents and Internet.

Excellent organizational skills.

Bookkeeping skills.

Must know how to operate and maintain: copy machines, telephones, computers temorates etc.
