Position Summary & Responsibilities The Senior Operations Coordinator (K0234387) supports the Office of the Secretary, managing administrative and operational tasks for senior leadership, including the Deputy Secretary for Fiscal Services, Chief Information Officer, Director of Communications, and Legislative Director. Key responsibilities include:

Scheduling meetings and managing the main phone line.

Greeting and checking in visitors, routing inquiries appropriately.

Managing sensitive and HIPAA‑protected correspondence and documents, including logging, tracking, and notifying staff.

Assisting with the Executive Matrix report.

Coordinating onboarding and workspace preparation for new employees.

Maintaining office and equipment inventories and coordinating IT for technology issues.

Travel arrangements and reimbursements for staff.

Managing the agency’s phone directory and backup lists.

Creating templates and documents using Word, Excel, PowerPoint, or Publisher.

Proofreading, formatting, and ensuring accuracy of documents.

Coordinating copying, printing, and supply requests.

Preparing conference rooms and meeting spaces for scheduled events.

Qualifications

Education:

High School, GED

Licensing & Certification:

Valid driver’s license required when operating state, private, or rental vehicles.

Minimum Qualifications:

Three years of experience in general office, clerical, and administrative support work (education may substitute for experience as determined by the agency).

Preferred Qualifications:

Knowledge of KDHE programs and work experience is a plus.

Four years of experience in general office, clerical, and administrative support work (education may substitute).

Proficiency in Word, Excel, PowerPoint, Access, Outlook.

Strong proofreading, editing, and attention to detail.

Experience in public sector/government.

Experience performing administrative support for a high‑level/executive position.

Ability to quickly adapt and prioritize tasks/information.

Effective communication skills.

Analytical skills and clear presentation of data.

Advanced problem‑solving skills.

Coordination and management of special projects.
