The Administrative Specialist at the Georgia Center for Continuing Education & Hotel supports both human resources and finance functions. This position is primarily responsible for all payroll functions and managing all transactions in UGA’s payroll management system. They also assist with accounts payable and financial reporting duties. This role manages a wide variety of transactional activities to ensure the timely and accurate completion of many key business operations within the Georgia Center. Knowledge, Skills, Abilities And/or Competencies
Strong Excel skills. Critical thinking skills and effective problem-solving skills. Ability to work in a team environment. Ability to manage multiple responsibilities. Excellent work standards exhibiting accuracy and timeliness. Strong customer service skills. Strong interpersonal communication skills. Provide confidentiality and security related to sensitive information. Ability to learn new software. Ability to manage time, meet deadlines, and adapt to on-going changes within human resources area. Basic accounting skills and principles. Basic understanding of UGA policies and procedures. Ability to pass background check to serve as P-Card Cardholder. Responsibilities
Payroll: Manage payroll for seasonal employees in Continuing Education; Monitor daily position and payroll exceptions; Notify managers and employees of discrepancies; Run and review payroll reports and supervisory reports to ensure accuracy; Manage all automatic meal deductions; Remind staff of payroll deadlines and ensure accurate timesheets; Submit GDCP terminations for temporary employees; Submit tuition waivers and create application links for graduate assistant postings; Manage payroll paid from suspense accounts; Notify supervisors of payroll deadlines; Process Food & Beverage daily tips and ensure accurate reporting; Provide monthly overtime reports to leadership. OneUSG Connect: Submit and manage all HR transactions, maintain leadership reports, and manage student staff reclassifications. Finance & Procurement: Act as P-Card Cardholder, review and approve payment requests, UGAmart initiator, distribute monthly reports. Administration: Respond to inquiries, serve as HR/Payroll point of contact, attend meetings, participate in trainings. Other duties: Support the Assistant Director of Finance & HR and the Georgia Center as needed. Work Schedule and Time Allocation
Percentage Of Time: 30% – Payroll Percentage Of Time: 25% – OneUSG Connect Percentage Of Time: 25% – Finance & Procurement Percentage Of Time: 15% – Administration Percentage Of Time: 5% – Other duties as assigned Physical and Compliance
