Legal Support Position

Under the general direction of the General Counsel, the incumbent will perform routine legal support for the Office of Counsel. Duties include, but are not limited to, the following: Prepare files with all associated court papers including briefs, motions, affidavits and other legal papers. Establish and maintain office files and database system for NYS Courts (Supreme, Appellate, Court of Appeals.) Properly format documents to upload to various Court e-filing systems. Prepare court papers and correspondence for attorney signature. Review record on appeal for any omissions or discrepancies. Gather materials for attorney's reply. Prepare documents for meetings, hearings, oral arguments as needed. Manage the flow of case-related material. Review case files on a routine basis and remove extraneous material for filing. Perform activities related to docketing, the placement of court-related activities on the court calendar, and on the attorney's calendar. Prepare portions of briefs, affidavits or affirmations and other motion-related papers as needed. Prepare reports as requested. Answer phones, greet visitors, operate office equipment, maintain office scheduling, coordinate meetings, research information, create conference material. Handle time-sensitive tasks in an efficient and timely manner. Act as a professional liaison with clientele in all matters related to the Office of Counsel. Open, read, route, and distribute incoming mail or other materials as needed. Coordinate travel arrangements for Office of Counsel staff, prepare travel reimbursements and reconciliations via the Statewide Financial System (SFS) Establish and maintain effective working relationships with staff at all levels within the organization. Minimum Qualifications: Two years of full-time experience as a Paralegal/Legal Assistant (see "definition" below). Definition: a Paralegal/Legal Assistant is someone who applies knowledge of the law and legal procedures in rendering direct assistance to lawyers, clients, and courts; prepares and interprets legal documents and forms; researches, compiles, and uses information from legal materials to provide both written and verbal comments on their findings; and analyzes and handles routine procedural problems independently with minimal attorney oversight. Examples of non-qualifying experience: receptionist, records clerk, bookkeeper, office manager. Substitutions: An associate degree (or higher) in paralegal/legal assistant/legal studies program or a certificate in a paralegal/legal assistant program where the degree was granted from a regionally accredited college or university, or one approved by the American Bar Association (ABA) OR an associate degree in any field where the degree was granted from a regionally accredited college or university, or one approved by the American Bar Association (ABA) AND one year of experience as a Paralegal/Legal Assistant (see definition above) OR graduation from an accredited (ABA approved) law school with a degree required for NYS Bar will be accepted as meeting the educational and experience requirements for this title. Applicants may be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a title that is eligible for transfer under Section 70.1 of the Civil Service Law. This is a part-time, 50% position. Salary posted is the full-time salary. Incumbents may be allowed to work up to 50% of their schedule remotely, depending on work demands and after initial training.
