Executive Events Coordinator

The Events Coordinator role supports high-profile events that bring together executives, customers, partners, and employees. The ideal candidate is customer-focused, highly organized, skilled at building relationships, and dedicated to delivering exceptional hospitality at every event. This role requires strong attention to detail and the ability to execute seamlessly while collaborating with internal teams.

The position calls for a collaborative team player who thrives in cross-functional environments, supporting both internal and external event requests. The right candidate is passionate about events, with a solid understanding of all aspects of event planning, including space setup, food and beverage coordination, and vendor management. Experience in a large enterprise or fast-paced start-up environment is preferred.

Your Impact This role supports a variety of events hosted at a premier corporate office in San Francisco, CA, offering flexible meeting and event spaces with modern amenities. The Events Team manages programs of varying sizes and complexity, with a strong focus on delivering world-class hospitality. Events include executive and customer meetings, off-sites, employee engagement activities, and nonprofit fundraisers, primarily in-person with occasional virtual or hybrid formats. This is a fully in-office role based in San Francisco.

Responsibilities

Manage event intake through a ticketing system, including vetting and qualifying requests within set service-level agreements (SLAs).

Coordinate and oversee 3-6 events per week on average, depending on seasonality, while maintaining exceptional execution quality.

Act as a key point of contact for internal calendar management for event spaces.

Assist with vendor relationships (caterers, DJs, staffing agencies, etc.) and coordinate with internal partners.

Maintain inventory and organization of event supplies across multiple spaces, including storage areas.

Support event leads by preparing pre-event planning materials and post-event summary reports for stakeholders.

Draft event communications and manage a library of templates.

Handle post-event tasks, including budget and invoice reconciliation, lessons learned, and survey follow-up.

Use tools like Google Calendar, Social Tables, and a ticketing platform to track and manage events.

Research innovative event ideas and entertainment options.

Provide on-site event support, including occasional evenings and weekends as needed. Required Skills & Experience

2-3 years of hands-on event experience, including managing corporate, customer/partner, and employee-focused events with a high volume of programs.

Strong customer service skills; personable, proactive, and solutions-driven.

Self-starter with a creative, problem-solving mindset and a willingness to iterate and learn.

Excellent organizational skills with the ability to prioritize and manage multiple projects under tight deadlines.

Outstanding written and verbal communication skills, with the ability to anticipate and address client needs. Preferred Qualifications

Bachelor's degree (field of study flexible; relevant experience is most important).

Strong understanding of event and hospitality operations, as well as integrated event marketing.

Ability to thrive in a team environment and collaborate across departments, including with executives.

High attention to detail and proven project management experience.

Confidence in problem-solving under pressure while knowing when to seek guidance.

Exceptional presentation and communication abilities.
