Our client is a mission-driven, national nonprofit and registered investment advisor, is seeking a highly organized and personable Executive Assistant / Office Manager to join their San Francisco office. This hybrid role combines high-level administrative support with office operations coordination. This hybrid schedulerequires 3 days onsite and 2 days remote per week, with Tuesdays onsite required. The ideal candidate will be proactive, detail-oriented, and excited to wear multiple hats. You’ll support three executives — two based in the San Francisco office and one in Boston — while also owning the day-to-day operations of the SF office to maintain a positive and engaging workplace experience for all.

Pay will be $35-$37/hr.** Key Responsibilities: Manage complex calendars, schedule meetings, and coordinate across multiple time zones Arrange domestic travel and manage detailed travel itineraries Process expense reports using Expensify Provide ongoing administrative support to three executives (2 SF-based, 1 Boston-based) Prepare meeting materials, agendas, and follow-up action items as needed Act as the go-to person for all things office-related in the SF location Stock snacks and office supplies, maintain cleanliness and organization of shared spaces Plan and coordinate office lunches, happy hours, and team outings/team-building events Serve as a cultural ambassador, helping to maintain a warm, inclusive, and well-run office environment Coordinate with facilities and vendors as needed Qualifications: Minimum of 3 years of experience in administrative support, with a proven track record of supporting executive-level professionals Bachelor’s degree (BS/BA) preferred Exceptional organizational skills and ability to multitask effectively, with strong attention to detail Proficient in Microsoft Outlook; adept at managing communications, calendars, and scheduling Familiarity with Expensify or similar expense management tools is a plus Experienced in coordinating complex travel arrangements and managing executive calendars Able to work both independently and collaboratively in a dynamic, fast-paced environment You can use WorkGrades to collect and manage your references for free and share them with us or anyone else you choose by visiting workgrades.com/home/candidate.
