The Executive Assistant supports the CEO and senior leadership team. This role is crucial for the success of our executive office and organization. The EA acts as a trusted partner and right hand to the CEO and senior leadership, managing day-to-day operations and ensuring strategic priorities are executed seamlessly. The EA must possess exceptional organizational, communication, and decision-making abilities, maintaining professionalism, discretion, and confidentiality. They should operate independently, anticipate needs, and thrive in a fast-paced environment with shifting priorities. Principal Responsibilities
Calendar Management:
Maintain and optimize the executive’s calendar, prioritizing meetings, appointments, and deadlines. Communication Management:
Serve as the primary gatekeeper for executive communications; draft, review, and manage correspondence. Meeting Coordination:
Organize and coordinate meetings, including agendas, materials, and follow-up actions. Travel Arrangements:
Plan and manage complex travel logistics, including itineraries, accommodations, and expenses. Document Preparation:
Draft, format, proofread, and manage reports, presentations, and proposals. Project Management:
Support projects, track progress, and ensure deliverables align with goals. Stakeholder Interaction:
Interact with internal teams, board members, and external stakeholders professionally. Expense Management:
Prepare and track expense reports and budgets. Event Planning:
Assist in organizing organizational events. Research & Analysis:
Conduct research and prepare briefing materials. Executive Delegation Support:
Make informed decisions in the absence of the executive, aligned with organizational goals. Qualifications & Skills
5+ years supporting C-level executives in a fast-paced environment. Proficiency in Microsoft Office and familiarity with collaboration tools. Excellent written and verbal communication skills. Exceptional organizational and multitasking abilities. Professionalism, integrity, and confidentiality. Strong interpersonal skills and ability to influence. Proactive thinking and initiative. Problem-solving and critical thinking skills. Bachelor’s degree or equivalent experience preferred. Starting range is $90-110k, plus potential bonuses based on performance.
