Summary: The Senior Billing Coordinator is responsible for overseeing and executing all aspects of the firm's billing processes. In addition, this role will also play a key role in ensuring compliance with all relevant legal and ethical billing guidelines. Essential Duties and Responsibilities: Billing & Invoicing: Prepare complex legal invoices accurately and timely, including time entries, expenses, and disbursements. Review and analyze client agreements and engagement letters to ensure accurate billing. Process and reconcile client payments, including credit card payments, ACH transfers, and wire transfers. Maintain accurate client billing records and prepare monthly billing reports. Assist with the preparation of client statements and invoices. Research and resolve billing discrepancies and client inquiries. Compliance: Ensure compliance with all relevant legal and ethical billing guidelines, including ABA Model Rules of Professional Conduct and applicable state bar rules. Stay informed of changes in legal billing regulations and best practices. Conduct regular internal audits to identify and address potential billing errors or compliance issues. Assist with the development and implementation of firm policies and procedures related to billing and collections. Other Duties: Provide support to other members of the finance team as needed. Participate in professional development activities to enhance knowledge and skills. Assist with special projects as assigned. Qualifications: Education:
High School Diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred. Experience:
5+ years of experience in legal billing and/or legal billing compliance. Skills: Strong understanding of legal billing practices and procedures (e.g., hourly billing, flat fees, alternative fee arrangements). Proficiency in legal billing software (e.g., 3E, Aderant, Elite) and Microsoft Office Suite (especially Excel). Excellent analytical, problem-solving, and organizational skills. Strong attention to detail and accuracy. Excellent communication and interpersonal skills, both written and verbal. Ability to work independently and as part of a team. Strong work ethic and commitment to meeting deadlines. Compliance Experience: Demonstrated knowledge of and experience with relevant legal and ethical billing guidelines. Ability to conduct thorough research and analyze complex legal and ethical issues. Experience with conducting internal audits and identifying potential compliance risks.
