Responsibilities:
1. Administrative Support to Department Heads:
· Provide administrative assistance to Clinical and/or Operations Head of Department (HOD), including calendaring, scheduling meetings, and managing communications.
2. Operations Support for Facility:
· Update, maintain, and publish staff rosters.
· Provide secretariat support for meetings, including booking rooms and setting up necessary equipment (e.g., projectors).
· Maintain staff records such as mask fitting, vaccination, and mandatory training records.
· Assist in onboarding and offboarding processes, including applications for IT access, desk assignments, and orientation coordination.
· Verify staff attendance and claims records, and process various claims (e.g., transport, conference, shift allowances).
· Source and purchase items for the operations of the facility, including stationery and furniture.
· Assist in raising purchase requests and coordinate deliveries for consumables and installations for complex procurement.
3. Department Secretary Support for Emergency Medicine:
· Coordinate with Clinical Services to ensure compliance with requirements for:
· Supervision of conditionally registered medical staff (e.g., assigning and monitoring supervisors, submitting supervision reports).
· Serve as a liaison with external parties, managing inter-hospital/external billing for activities like doctors’ teaching sessions and court attendances.
· Maintain subscriptions, licenses, and copyright purchases for the department.
· Assist with research-related administration, including collating doctors' research projects and submissions.
Job Requirements:
· Preferred Diploma or GCE 'A' Levels with 4-6 years of related experience.
· Healthcare experience is preferred.
· Strong ability to multi-task and manage projects effectively.
· Excellent communication and interpersonal skills, with the ability to interact at all organizational levels.
· Proficiency in Microsoft Office is essential.
· Strong analytical skills with the ability to improve processes efficiently.
