Seeking a highly motivated Assistant Property Manager (APM) to join our team in Emeryville, CA. Reporting to the Property Manager, this role provides key support to the property management team in day-to-day operations and delivering outstanding service to tenants and customers. Responsibilities include:
Tenant Relationship Management
Establish ongoing relationships to understand tenant needs, concerns, and contribute to resolutions.
Ensure prompt and courteous attention to tenant requests from both site level and head office.
Oversee scheduling of tenant events and meetings.
Maintain vacant suites to company standards and assist the leasing team as required.
Maintain the tenant manual, coordinate annual updates, and support policy enforcement.
Operations
Manage day-to-day operations of the property.
Direct activities of workers engaged in operating and maintaining facilities and equipment.
Ensure quality of internal (engineering) and third-party (security, janitorial) services.
Perform regular property inspections to ensure smooth operations.
Manage building vendors and attend vendor meetings.
Oversee work order management, monitor trends, and develop action plans.
Assist in vendor bidding and contract awards, ensuring compliance with contracts.
Support sustainability initiatives and leasing activities as directed.
Participate in emergency response and ensure life safety programs are in place.
Financial Responsibilities
Assist in creating property budgets.
Review monthly and YTD general ledger reports.
Complete monthly accruals and variance reports.
Assist with forecasts and billing processes.
Manage rent statements and utility billings.
Qualifications
3-5 years of experience in property management required.
Experience in a retail environment is an asset.
Post-secondary degree in business or real estate.
Enrolment in RPA / CSM is an asset.
Strong computer skills, MS Office required; basic knowledge of JDE preferred.
Excellent communication, analytical, decision-making, and customer service skills.
Leadership qualities and ability to work well in a team.
Strong interpersonal skills to build tenant relationships.
