We are seeking a highly organized and detail-oriented Accounting Manager to oversee the day-to-day financial operations of our company. This individual will be responsible for managing accounts receivable and payable, final client invoicing, handling collections communications, and overseeing payroll and employee benefits administration. This role requires a strong understanding of accounting principles, excellent communication skills, and the ability to work collaboratively across departments. Key Responsibilities: Accounts Receivable & Client Invoicing • Prepare and issue final client invoices based on actual project costs, ensuring costs are accurately captured and profit goals are met. • Reconcile estimated vs. actual costs on each project and document variances. • Monitor outstanding invoices and follow up on overdue payments through collections outreach. • Maintain accurate A/R records and aging reports. Accounts Payable • Review, code, and process vendor bills against approved purchase orders. • Monitor due dates to ensure timely payment and maintain vendor relationships. • Reconcile discrepancies with vendors and internal teams as needed. Payroll & Benefits Administration • Oversee biweekly payroll in collaboration with our payroll provider. • Ensure accurate payroll records including employee expense reimbursements. • Support onboarding/offboarding of employees with respect to payroll and benefits enrollment. • Serve as point of contact for employee benefit plans (healthcare, 401k, etc.) and coordinate with external providers. Reporting & Compliance • Prepare monthly financial reports related to cash flow, receivables, and payables. • Assist with year-end financial statements and audits. • Maintain internal controls and ensure compliance with financial policies and procedures. • Coordinate with external accountants or tax preparers as needed. Qualifications: • Bachelor’s degree in Accounting, Finance, or related field required. • 3–5 years of experience in accounting, finance, or business administration roles. • Strong knowledge of accounting software (QuickBooks Online) and Microsoft Excel/Google Sheets. • Experience with project-based billing and job costing preferred. • Excellent organizational and time management skills. • Strong attention to detail with the ability to work independently and proactively. • Familiarity with HR/payroll platforms is a plus.
