The Payroll Specialist is responsible for managing payroll operations for multiple client accounts. This role includes collecting and verifying employee data, processing payroll, handling tax and benefit deductions, and ensuring compliance with federal, state, and local regulations. The Payroll Specialist will serve as a point of contact for clients, offer guidance on payroll best practices, and contribute to continuous improvements in payroll systems and processes. This is a hybrid position. The Payroll Specialist initial training is in the office for the first 30-60 days. After the Payroll Specialist initial training period they will be working in the office 1-2 days per week.
Key Responsibilities:
Process accurate and timely payrolls by collecting, verifying, and entering employee data (hours, deductions, benefits, etc.)
Manage payroll-related items such as garnishments, child support, and other deductions in accordance with applicable laws
Maintain and update client payroll profiles, including onboarding new clients and balancing year-to-date data
Ensure compliance with federal, state, and local wage, hour, and tax laws
Support audits by preparing and providing required documentation
Communicate regularly with clients to provide proactive payroll support and foster strong relationships
Advise clients on payroll systems and timekeeping tools as needed
Collaborate with internal teams to identify and implement process improvements
Safeguard confidential payroll data and follow company data security policies
Exercise sound judgment in resolving payroll issues and escalating complex matters appropriately
Follow established processes, procedures, and checkpoint instructions with consistency and accuracy to ensure compliance and minimize errors
Maintain a consistent and reliable work schedule to meet critical payroll deadlines, while contributing to a flexible, team-oriented work environment
Required Skills & Qualifications:
Minimum 3 years of payroll processing experience; PEO experience a plus
Strong knowledge of payroll processing, tax regulations, deductions, garnishments, and benefits administration
Knowledge of payroll tax filings and reporting
Proficient in Microsoft Office Suite, especially Excel (including pivot tables)
Comfortable using payroll and time-tracking software
Strong analytical, organizational, and problem-solving skills
Team oriented
Excellent verbal and written communication
Customer service-oriented with the ability to interact professionally with clients and colleagues
Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment
High degree of confidentiality and ethical judgment
Willingness to maintain a consistent and dependable schedule
Experience using a customer care ticketing program a plus
Ability to consistently adhere to a hybrid work schedule (1-2 days in the office/week after initial training)
