Reporting to the Director of Human Experience & Development, the Human Development Onboarding Specialist plays a critical role in shaping the first experience of new employees, students, and remote hires across Southern Illinois Healthcare. As the first point of connection after hire, this role ensures that every onboarding experience is welcoming, seamless, and aligned with SIH's mission, values, and culture of growth and excellence. Beyond coordination, this role serves as a systems thinker and process improvermonitoring onboarding compliance, identifying breakdowns, and implementing enhancements that elevate the experience for new hires and internal partners. The Onboarding Specialist collaborates across departments including Human Resources, Talent Acquisition, IT, Nursing Professional Development, and Customer Service to support and deliver exceptional onboarding experiences and learning events. The role also plays a key supporting function in SIH's leadership retreats, provider onboarding, and other development programs. Education: Associate's degree required; (Bachelor's degree preferred in Human Resources, Communications, or related field.) Licenses and Certification: N/A Experience and Skills: Minimum of 1 year experience in HR, onboarding, training, education, customer service, or related field coordination roles. Exceptional organizational and communication skills with a customer service mindset. Ability to manage multiple programs simultaneously and coordinate logistics across locations. Comfortable facilitating and engaging group sessions and speaking publicly in a professional setting. Experience working with LMS systems, scheduling tools, and Microsoft Office Suite. Strong attention to detail, follow-through, and ability to work both independently and in a team environment. Familiarity with adult learning principles and employee lifecycle concepts preferred. Physical Activities: Intermittent hand manipulation required Intermittent lifting and carrying of 50 lbs. Role Specific Responsibilities: Onboarding Execution & Experience Design: Coordinate and deliver engaging onboarding experiences for all new hires, including students, remote employees, and providers Serve as the lead facilitator or coordinator for all orientation days experiences, ensuring that each onboarding moment reflects SIH's culture, expectations, and values Act as the primary point of contact for onboarding logistics, post-hire documentation, and first-day readiness Process Improvement & Compliance Monitoring: Run regular reports to monitor completion and compliance of onboarding steps and training requirements Identify root causes of process breakdowns or delays and collaborate with appropriate stakeholders to address and resolve them Maintain onboarding process documentation and recommend/implement enhancements to increase efficiency, clarity, and user experience Report and escalate system, process, or communication issues to the appropriate HR, IT, Facility orientation staff, or Talent Acquisition stakeholders for resolution Cross-Functional Collaboration: Work closely with: Talent Acquisition to ensure handoffs from candidate to employee are smooth Nursing Professional Development to align onboarding with clinical training pathways Customer Service (HR) to manage support issues during the onboarding process IT to ensure system and equipment readiness for new hires Facilitators and leaders to coordinate onboarding presentations and events Build relationships across departments to anticipate needs and eliminate onboarding friction Collaborate on strategies to reduce first-year turnover by enhancing the onboarding experience, improving early engagement touchpoints, and supporting continuous connection with new hires during their critical first 12 months. Event & Program Support: Serve as a key support partner for SIH's leadership retreats, provider onboarding classes, and other internal development programs Provide logistical support, registration oversight, communication, materials coordination, and participant experience support for major training events Support post-onboarding surveys and follow-up communications to identify areas for continuous improvement Track, analyze, and report onboarding-related metrics (e.g., retention, time-to-productivity, feedback trends) while supporting broader organizational KPIs that intersect with workforce development, engagement, and experience outcomes. Communication & Follow-Up: Maintain consistent and professional communication with new hires and stakeholders throughout the onboarding process Provide timely follow-up to resolve questions, track outstanding onboarding steps, and ensure an exceptional first impression Represent the Human Development team as a welcoming, responsive, and resourceful partner throughout the onboarding journey Serve as a primary point-of-contact for new hires and leaders during the onboarding period.
