We are seeking a highly motivated, relationship-driven Recruiting and Onboarding Specialist to be part of the HealthRIGHT360 team to report to the Recruitment Manager. You are someone with an abundance of positive energy, who thrives in a fast-paced environment. You excel at multitasking, paying unwavering attention to detail and enjoy building internal and external relationships to hire the best talent to meet business objectives. The Recruiting and Onboarding Specialist will play a critical part in driving a seamless and high-touch candidate experience while ensuring operational excellence across our recruitment process. You'll deliver seamless and efficient interview coordination by partnering with recruiters and internal hiring teams while ensuring an exceptional experience for candidates. You'll also partner with recruiters and hiring teams by sourcing for challenging roles using platforms like Indeed, LinkedIn, and others. You will also support recruiters by helping with recruiting event logistics, job fairs, materials and whatever is needed to make those successful. Lastly, you'll be at the forefront of managing our recruiting/HR inbox, helping to respond to reviews, and ensuring all of our postings are inclusive and represent us well. Must be within reasonable commuting distance to LA area program sites and administrative offices. The standard in-office days are Mondays and whenever there is a new hire orientation or onboarding scheduled. Responsibilities: Partners with recruiters and hiring managers to understand hiring goals, role nuances, and expectations across difficult to fill roles Participate in calibrations and pipeline reviews, offering insight into market insights and availability Contribute to profile refinement and search prioritization based on talent availability and business urgency. Work collaboratively within a team environment, supporting aligned priorities across programs and roles. Conduct market research to identify target companies and institutions Map talent across providers, balancing quality, location, and business alignment. Track hiring activity, team movements, and community dynamics across the startup and growth-stage tech ecosystem. Partner with peers to identify diversity opportunities and explore underrepresented communities. Create high-context outreach messages tailored to individual profiles. Source across multiple platforms: LinkedIn, alumni networks, meetups, and communities. Engage with talent in an informed and credible manner, with a focus on long-term relationship-building. Represent HR360 opportunities with clarity and professionalismconveying impact, scope, and team mission. Recruiting Coordination and Onboarding Support all aspects of the recruiting process, working directly with recruiters, candidates, and hiring managers, owning the coordination & logistics of complicated, multi-step interviews. Manage the onsite and virtual candidate experience, including (but not limited to) interview scheduling, debrief scheduling, reference check scheduling, room blocking, travel arrangements, candidate communications, and any other required support activities for the recruitment and selection process, ensuring all parties are well prepared and feel supported at each stage. Ensure every candidate has a smooth, well-communicated, and positive experience. Manage logistics for onsite interviews at our Los Angeles office and local program sites as needed, including candidate arrival, workspace setup, and a thoughtful wrap up. Proactively identify and solve day-of issues, including last-minute changes or scheduling conflicts. Communicate clearly and promptly with candidates and internal teams about interview logistics and updates. Assist recruiters by sending out offer letters, collecting and filing onboarding documents and following up with candidates as needed. Support the local HR team with New Hire Onboarding and Orientations from escorting new hires, I-9 document verification, printing materials and additional responsibilities as needed. Manage job postings through Dayforce, Indeed, and additional partner sites as needed. Review, share and update statuses of candidates coming through partner sites. Assist with auditing job postings and requisitions to ensure language is inclusive and all details are accurate including compensation information. Document and update recruitment processes, SOPs, and best practice resources. Create and modify templates in ATS, Dayforce as needed. Assist recruiters with preparing for job fairs and recruitment events with making copies, collateral, securing rooms and event logistics. Respond to messages in the HR, recruiting inbox on a regular basis and ensure messages are directed internally as needed. Work with management to respond to reviews, create social media posts, and share jobs on platforms like Glassdoor and LinkedIn. Assist with new hire onboarding and orientation sessions in-person at least 3x a month. Must be willing to be onsite at our administrative office and local program sites at least 1x a week and more as required. Assist with special HR projects as needed. Qualifications: 1+ years of experience in recruiting coordination, sourcing, HR operations, or a similar talent support role, ideally within a high-volume environment. High school or equivalent. Exceptional organizational skills with a demonstrated ability to manage competing priorities in a fast-paced setting. Strong communication and interpersonal skills, with a high degree of professionalism and discretion. Proficiency in Dayforce or similar ATS platforms is preferred.
