We are seeking a detail-oriented, highly organized, administrative rock-star as Architectural Project Coordinator to support the planning, design, and execution of architectural projects from conception through completion. This role acts as a critical liaison between the architecture team, land acquisition, finance, construction, and our jurisdiction contacts, ensuring that project milestones are met on time while maintaining the highest standards of organization and communication. On a given day, your work might include: Overseeing and managing the administrative process for a portfolio of assigned single-family residential projects within MN Custom Homes' production workflow. Assisting the Architectural Project Manager with maintaining accurate information for all current projects in Salesforce. Collaborating with land acquisition, finance, architectural production, and construction teams within the company. Managing the completion and recording of project easements, dedications, and various other recording requirements as deemed necessary by permit jurisdictions. Managing the bond process with MN's insurance team in coordination with permit jurisdiction requirements. Assisting the Architectural Project Manager with the completion of permit intake forms, prior to issuance forms, and Salesforce schedule maintenance. Proactively pursuing opportunities for creating new efficiencies within the team and continued improvement of MN standard work processes. Assisting internal stakeholders in MN departments to meet project goals and milestones. Collaborating on cross-functional projects or initiatives as needed or required. Participating as a metrics (KPI) champion for the organization as needed or required. Developing and maintaining good working relationships with a variety of people, including company owners, managers, consultants, subcontractors, designers, tradespersons, team members, and city jurisdiction staff. Tracking project progress, managing documentation, and reporting on key milestones and issues. Supporting the permitting and approval process with local authorities and regulatory agencies, including the monitoring and organization of the MN permit inbox, phone calls, and snail mail. Submitting over-the-counter permitting paperwork and recording documentation for the completion of permit issuance in-person at city jurisdiction offices. Performing other related duties as necessary or assigned by project managers. What You'll Need To Succeed
BA/BS or other professional degree, or equivalent combination of education and experience. 1-2 years' experience in the entitlement process and navigating various permit jurisdictions. 1-2 years' experience with single-family residential architecture. 1-2 years' experience managing construction projects. 1-2 years of prior architectural project coordination or experience of submitting single-family permit documentation. Experience with Bellevue and Kirkland permit review preferred. Experience with lean project management practices desired. Models and reinforces actions and behaviors consistent with the company's values, mission, and culture. Excellent organizational, management, and interpersonal skills. Ability to inspire and motivate results from consultants, department staff, and partners while preserving good relations. Careful attention to detail and proactive in self-checking work for quality. Ability to prioritize work to be effective in a fluid, demanding environment. Ability to make sound, quick decisions, while under pressure and when faced with unexpected occurrences or delays. A willingness to learn, provide and give constructive feedback. Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Experience using Salesforce. Knowledge & capability of recording documentation with King County municipalities. Preferred licensed notary or interest in obtaining notary license. Physical Requirements
This position requires frequent use of a computer, including keyboard functions and visual acuity of 20 inches or fewer on a daily basis. Frequent sitting (up to 8 hours a day in total). Occasional standing and walking. Must be able to, using personal vehicle, operate a motor vehicle to deliver documents to local municipality offices, such as Kirkland, Bellevue, Seattle, etc. Must be able to work in the HQ office, Monday through Friday, around core business hours of 8 am to 5 pm. This is a full-time position paying $65,550
$91,765. The base salary range represents the anticipated low and high end of the salary range for this position. Individual placement within a salary range will vary based upon factors including but not limited to candidate experience, knowledge, individual, skills, and organizational performance.
