Administrative Assistant To The Global Finance Organization
As an Administrative Assistant to the Global Finance organization, you will develop your knowledge and understanding of both the business and the executives you support to play a critical role in enabling TransUnion's global success. This team is fast-paced, high performing, dynamic, and responsible for leading the development of our long-term global financial strategy. The administrative assistant will develop a meaningful partnership with the team, and play an important role in assisting with multiple projects, collaborating with functional departments, and managing the execution of meetings with high priority and urgency. This person will utilize their creative problem-solving skills, effective decision-making, and project planning/management abilities to maintain a realistic balance among multiple priorities. To be successful, you must be a proactive thinker who is interested in understanding the business and working to provide more value to each task by maximizing the strategic alignment between the executive and their business priorities. You will be challenged to think beyond the task at hand and work to tie the pieces together to deliver maximum results. Specific Responsibilities: Anticipate and prepare a daily schedule of executive's meetings and priorities
Ensure the most effective use of the executive's time This may include some off-hour requests
Work closely and effectively with the executive
Keeping the executive well informed of upcoming commitments and/or responsibilities Proactively following up on administrative/operational duties associated with the executive's area of responsibility
Initiate, establish and communicate department meetings on behalf of executive
Follow-through on meeting actionable items expeditiously
Prepare, coordinate and schedule meetings for senior-level management and others within the organization
This includes logistics for off-site conferences, customer/partner events, Town Halls, internal associate celebratory/appreciation events, and other tasks as needed
Coordinate and schedule meetings with external companies Manage and arrange complex and detailed domestic and international travel plans/itineraries, compile documents for travel-related meetings Process and complete executive's weekly expense report(s) and reconciles corporate credit card account(s) Coordinate food and beverage requests for executives, meetings, and/or events Manage internal technology/programs (i.e. SharePoint sites, shared drives, etc.) Respond to daily inquiries and execute ad hoc requests and meeting logistics Book travel, hotel accommodations, meeting room(s), and other meeting requirements for cross-functional teams Organize external/vendor meetings, interviews, events, etc. Collaborate and develop strong relationships within the Corporate Development team, the finance leadership team as well as the executive/administrative assistant community This is a remote position which may require occasional in-person attendance at work-related events at the discretion of management.
