Early-growth venture capital firm is looking for an Admin + Office Coordinator to support one of their Partners and team. This is an exciting opportunity to join a close-knit team of 11 with the opportunity to grow in your role alongside the firm! In this role, you'll manage calendar, expenses, and travel for one Partner, oversee day-to-day office operations, work with building management, greet visitors, and maintain a welcoming environment. You will also support team culture by helping with event venues and quarterly team activities. Someone energetic, thoughtful, detail-oriented, and who enjoys building relationships with a client-service mindset. This is an in-office role, 5 days per week, based in the Presidio. 80-90K DOE + benefits, phone & gym reimbursement, unlimited PTO, and once a week lunch provided.
Responsibilities:
Oversee the day-to-day operations of the office to ensure a warm, welcoming, and efficient experience for all employees and guests. Maintain office inventory, including snacks, supplies, and equipment. Oversee daily upkeep of office and kitchen areas to ensure cleanliness and organization. Act as the main point of contact for building management and any facilities-related concerns. Coordinate and follow up on office maintenance or service requests. Liaise with third-party IT support providers to resolve technical issues promptly. Provide direct administrative support to a Partner, including managing calendars and coordinating schedules. Arrange travel accommodations, including flights, lodging, and transportation for the Partner. Prepare and submit accurate monthly expense reports, including tracking receipts and reimbursements. Handle sensitive documents and correspondence with discretion and professionalism. Support ad hoc tasks and projects in partnership with the Senior Executive Assistant to support the team. Qualifications:
1-3 years of experience in office coordination, administrative support, or a similar role. Strong knowledge in office management operations, tools, and best practices. Strong interpersonal skills and ability to work effectively across teams and levels. Excellent communication skills, both written and verbal. Proactive, adaptable, and capable of managing shifting priorities in a dynamic environment. Collaborative, team-oriented mindset with a positive and solutions-driven attitude. Tech-savvy and quick to learn new platforms and software. Familiarity with tools such as Google Workspace, Microsoft Office Suite, Slack, and Expensify. *Please Note: Your application will be considered for all open positions.
