Administrative Associate **Temporary position**

**Work Schedule is 30hrs/week, Monday - Friday, 10:00am - 4:00pm. This is a temporary position for 9 months from the start date with possibility of becoming a permanent position after evaluation closer to end date**
**Payrate for this position is $30.38/hr**

PRINCIPAL DUTIES AND RESPONSIBILITIES: Provide administrative support for supervisors and professional staff, with an emphasis on data analysis and other duties as assigned. Responsibilities may include:
Process and audit routine information and/or inquiries regarding activities, processes, procedures, and established programs; ensure accuracy and quality of service delivery and data*; take immediate action to address customer needs or refer to appropriate staff or external parties. Facilitate communications via email, voicemail, phone calls, interoffice courier, and mail; answer and route calls appropriately, collaborate across departments to gather information and support agency initiatives. Investigate concerns and identify/resolve issues*; compare and review documents; track and follow up on action items; communicate directly with staff regarding corrections needed in the Electronic Health Records (EHR)*; provide technical assistance to support those corrections. Maintain databases and spreadsheets, ensuring timely and accurate data entry*; run reports; perform billing functions in the EHR for Medi-Cal and other insurance providers*; prepare and produce documents, spreadsheets, and correspondence; provide remote coverage for Program Admin during absences to ensure continuity of operations. Document processes as standard operating procedures (SOPs); analyze workflows and recommend improvements*; create and refine auditing methods using spreadsheets and reports*; participate in implementation efforts and special projects related to Administrative Services.
OTHER DUTIES AND RESPONSIBILITIES
Coordinate, attend, and support community and agency trainings, meetings, and events, including taking and transcribing minutes, as needed. Make interdepartmental and off-site pickups/deliveries using a personal or agency vehicle. Maintain strict confidentiality of protected health information (PHI) in accordance with HIPAA regulations. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

High School diploma, GED, or equivalent education and at least one year (E) or two years (D) of responsible, full-time experience in an administrative or clerical capacity; Associate's degree or graduation from a recognized business school or a related field. (D) Proven typing speed of 40 net wpm (E); 50 net wpm (D); computer proficiency required; including intermediate-level knowledge of MS Word, Excel, Outlook, and Windows-based databases (E); Experience with UNIX-based systems. (D) Familiarity with standard office equipment, including fax machines, printers, copiers, and multi-line phone systems. (E) Strong verbal and written communication skills; proper use of English grammar, spelling and punctuation; ability to proofread and edit own and others' work. (E) Demonstrated ability to:
Manage multiple tasks and deadlines effectively. (E) Adapt to changing systems and environments; (E) Remain calm and professional under stress or when interacting with distressed individuals; (E) Work independently and demonstrate resourcefulness; (E) Recognize, investigate, troubleshoot, and resolve problems efficiently; (E) Maintain confidentiality and professional boundaries; (E) Work effectively with persons of diverse backgrounds, languages, and abilities; (E) Deliver excellent customer service with compassion and professionalism. Special Requirements: Must pass criminal background clearance in compliance with Title XXII, other licensing regulations, and Momentum practices. (E) A valid California Driver License, with access to a reliable vehicle/for driving a company vehicle, current proof of auto liability insurance, and a clean DMV record.
