Monday through Friday working approximately 40 hours per week as necessary to successfully perform the job. Job Summary:

The Order Entry Manager oversees and manages the order entry process within the HVAC company, ensuring accurate and timely processing of customer purchase orders into the ERP system. This role is responsible for coordinating with sales, engineering, and production teams to validate specifications, lead times, pricing, and compliance with company standards. The manager drives process improvements, ensures data accuracy, and leads a team of order entry specialists or coordinators. Key Responsibilities: Order Management: Supervise and manage the entry of HVAC equipment orders into the company's ERP system. Ensure accuracy in pricing, configuration, shipping details, and product specifications. Review complex orders for completeness and feasibility. Team Leadership: Lead and coach a team of order entry specialists; assign tasks, review performance, and manage training needs. Foster collaboration between Customer Service, Sales, Engineering, and Manufacturing departments. Process Optimization: Develop and implement procedures to streamline the order entry process. Reduce errors and improve order cycle time through continuous improvement. Customer & Sales Support: Act as a liaison between customers, sales representatives, and internal departments to resolve order-related issues. Ensure all customer requirements and ship dates are clearly communicated and achievable. Data Integrity & Reporting: Maintain accurate order documentation and audit records. Prepare regular reports on order status, backlog, error rates, and processing times. ERP & Systems Management: Ensure proper use of the ERP system for order entry; assist with testing and implementation of new system features or updates. Work with IT and Operations on system improvements or integrations. Qualifications: Associate or Bachelor's Degree in Business, Operations Management, Engineering, or related field. 5+ years of experience in order entry or sales operations, preferably in HVAC or manufacturing. 2+ years of supervisory or management experience. Proficient in ERP systems (e.g., Syteline, SAP, JD Edwards). Knowledge of HVAC systems (VAVs, diffusers, fan coils, air handlers, etc.) a strong plus. Excellent attention to detail, organizational, and analytical skills. Strong communication and cross-functional collaboration abilities. Preferred Skills: Experience with HVAC product configurations or submittals. Working knowledge of AutoCAD or technical drawings a plus. Lean, Six Sigma, or Agile experience in a manufacturing environment.
