Secretarial Support Specialist

Manages execution of Publications and Forms Programs and all By-Law Programs. Performs work regarding planning and organizing all administrative activities and processes for the organization. Manages, prepares and maintains documentation concerning the administrative orders program; prepares orders for a variety of actions (e.g., special tour, annual tour, school tour, and civilian orders). Monitors and directs the control of incoming and outgoing correspondence; develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office. Serves as the resident subject matter expert for all mandated administrative support programs; integrates a variety of software to produce final products. Incumbent may be required to fly in military and/or commercial aircraft to perform temporary duty (TDY) assignments. Incumbent may be required to work weekends during the unit training assembly (UTA) weekend. The incumbent must have the ability to type a minimum of 40 WPM. This position is obligated to the former incumbent and has return rights to this position under 10 U.S.C. 1586. Upon the employee's return you are subject to being displaced from this obligated position. In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-06, or equivalent in other pay systems. Examples of specialized experience includes knowledge and skill to recognize the dimensions of problems involved, collecting the necessary information, establish the facts, and take or recommend action based upon application or interpretation of established guidelines as the organizational liaison for personnel matters; provides guidance and technical assistance to group/wing staff members and or geographically separated units (GSUs) regarding publications and forms preparation and processing procedures, information privacy, confidentiality, security, disclosure and sharing of information. Interprets instructions and recommend ways to resolve areas of concern with administrative processes. Prepares orders for a variety of actions (eg. special tour, annual tour, school tour, and civilian orders). Reviews and analyzes control procedures and handling methods within the organization. Ensures unit program compliance with regulations, laws, policies, and group commander directives. Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office. Uses work processing software and printing equipment to create, copy, edit, and print a variety of standardized documents. Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of common clerical practices and office routines. Knowledge of basic rules of grammar, spelling, capitalization, and punctuation, and of standard abbreviations. Knowledge of format and clerical procedures to arrange a variety of material from different sources. Skill in integrating a variety of types of software to generate products for a single purpose. Skill in assessing personnel resource requirements. Knowledge of personnel documentation and reporting procedures. Knowledge of reserve programs and skill in scheduling for requirements. Knowledge of official orders preparation instructions and procedures. Ability to communicate effectively orally and in writing, using tact and courtesy. Knowledge of processes used in the ordering and distribution of forms. Thorough knowledge of the mission, functions and policies of the organization. Knowledge of administrative and personnel processes. Knowledge of civilian time keeping program, procedures, and instructions. Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
