Description
The administrative assistant at the Academic Success Center (ASC) provides administrative support to ensure the efficient operation of the center. This role involves various tasks, including managing communications; scheduling appointments; maintaining records; and assisting students, staff, and faculty with their needs. The administrative assistant reports to the director of Academic Success.
Key Responsibilities:
Administrative Support: Answer and direct phone calls, emails, and other correspondence Greet and assist visitors to the ASC, providing information and support as needed Schedule appointments and manage calendars for ASC staff Prepare and distribute communications, memos, and other documents Organize and maintain electronic and paper files
Student Assistance: Assist students in scheduling tutoring sessions, workshops, and other academic support services Provide information about ASC resources and services to students Maintain accurate records of student attendance and participation in ASC programs
Event Coordination: Assist in planning and coordinating workshops, seminars, and other ASC events Handle logistics such as room reservations, catering, and materials preparation
Data Management: Enter and update data in the ASC database Compile and generate reports on student usage of ASC services Ensure confidentiality and security of student records
General Office Duties: Order and maintain inventory of office supplies Coordinate maintenance and repairs for office equipment Perform other clerical duties such as photocopying, faxing, and mailing
Requirements
A high school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus Proven experience as a secretary or administrative assistant Proficiency in MS Office (Word, Excel, PowerPoint) and office management software Strong organizational skills and attention to detail Excellent communication and interpersonal skills Ability to work independently and as part of a team Familiarity with academic environments and student services is preferred Must submit to a background check
Working Conditions: Typical office environment May require occasional evening or weekend hours for special events
Physical Requirements: Ability to sit for extended periods Light lifting (up to 25 pounds) may be required
Preference will be given to applicants who are members of a congregation of the churches of Christ. All applicants must be members of a local church and able to sign and abide by the MDCA Statement of Faith to be considered.
