Under general supervision, provide diversified administrative support, relieving the Executive Director of administrative details by coordinating and organizing office routines and procedures, including handling information of a complex and highly confidential nature. Organize and manage routine work activities of the Extended Learning Opportunities Department. Maintains physical and computerized departmental filing system for district, state, and federally funded Out-of-School Time programs. Creates and prepares correspondence, forms, spreadsheets reports, documents and/or maintains databases using Windows-based business software applications. Prepare and follow through on all departmental requisitions, purchase orders, and payment authorizations. Answer incoming calls, take reliable messages, and route to appropriate staff; obtain and maintain adequate office supplies at all times. Ensure the office is always neat and projects a professional appearance. Provide general information to employees, parents, and the public as it relates to all out-of-school time programs. Assist with all departmental trainings, hearings, and projects, including developing agendas, procedures, and practices. Ensure timely notification of department staff regarding issues relating to policies, procedures, and practices. Interact with all levels of management, employees, and vendors; providing assistance in handling vendor issues. Maintain a schedule of appointments and arrange appointments, conferences, and interviews. Provide regular feedback to the Executive Director and Director regarding the status of projects or issues. Monitor and maintain personnel time records including daily attendance, leave requests, and reports compile information and submit to requesting departments. Perform all other tasks and duties as assigned.
All federally funded incumbents of this position must comply with time and effort reporting requirements through personnel activity reports or periodic certification, as appropriate.
Qualifications
High School Diploma required. Three to five years directly related administrative experience. Demonstrated proficiency in computer skills with software applications, Microsoft Windows, Microsoft Office Professional, Oracle, and other database systems. Demonstrated task oriented self-starter with the ability to perform with a high degree of accuracy, strong skills in record keeping and highly detailed oriented, excellent organizational, communication, customer service, and interpersonal skills, to respond to common inquiries or complaints from department employees, parents, or board members. Demonstrated ability to meet established deadlines, to remain focused in an environment of frequent distractions, to communicate and interact effectively with a wide variety of district personnel and the public. Demonstrated planning and problem-solving/investigative skills as required to research inquiries. Must possess ability to coordinate multiple projects and assignments; high degree of flexibility required.
