Job Summary
Active support to the HR Team. Assist Manager, HR and Director, HR in daily activities and providing help in recruitment, record maintenance and provides clerical support to all employees. acting as a liaison with the employees, providing them with necessary information and tools required to perform their respective jobs efficiently and safely.
Key Duties and Responsibilities
• Supports the smooth and efficient running of the Human Resources Department, ensuring that all policies and procedures outlined are strictly adhered to
• Assist colleagues whenever possible with requests and/or information. Attempt to answer colleague questions and/or address colleagues concerns in a timely manner
• Maintain accurate and up-to-date human resources and personnel files, records, associated compliance documentation and data entry, assuring accuracy of reports and compliance with all relevant labor and employment law
• Handle employment related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff
• Ensure all new hires and existing colleagues possess proper employment eligibility verifications
• Assisting in preparation of different documents as requested
• Assist with the planning and execution of colleague relations events and recognition
• Process all labor visa or other legal documentations and work permit paperwork for foreign employees and submit them to the governmental institutions
• Assist with new hire paperwork and the on-boarding process
• To assist with any other duties as required by the Manager, HR or Director or another member of the management team
• Setting appointments and maintaining meetings minutes
• Compiling reports and spreadsheets and preparing spreadsheets when requested
• Assist with recruitment and training programs when needed
• Assist with Coordinator, Colleague Village with housing when needed
• Participate in any communication with the employees in job related issues, grievance, discipline, appearance etc.
• Assist in organizing employee social activities and events in colleague restaurant and other
• Prepares reports on social activities and events of the colleagues
• Monitor the cleanliness and upkeep of the employee restaurant and locker areas
• Assist the Training Manager with Orientation training
• Assists in maintaining the Employee Notice Board and update regularly
• Produces variety of HR standards and ad hoc reports as requested
Skills, Experience & Educational Requirements
• Good communication skills and negotiation skills (written and verbal)
• Fluent in English both verbally and written
• Excellent PC Knowledge, especially Word, Excel and Power Point
• Excellent organizational skills
• Be able of multitasking
• High level of loyalty and integrity
• To be able to work under pressure

The ideal candidate must be able to perform all physical requirements of the job in a safe manner, with or without reasonable accommodation. Physical requirements include, but are not limited to:
- Standing, walking, stooping, kneeling, and bending in an operational environment for extended periods
- Frequent bending, twisting, stooping, reaching, and pulling
- Lifting and carrying of loads weighing up to 30 pounds
- Remaining in a stationary position for long periods
- Constantly operating a computer and other office productivity machinery
- Working in outdoor environments, including high altitudes, that may present extreme weather conditions such as snow, ice, rain, heat, wind, etc.
