LEAD COMMUNITY AMBASSADOR RECEPTION MEETING COORDINATOR

Job Summary:
The LEAD COMMUNITY AMBASSADOR RECEPTION MEETING COORDINATOR will lead and oversee a team of workplace professionals to deliver exceptional onsite support across Reception, Meeting Room Management, Pantry Services, Events, Mailroom, and general Facilities. This client-facing role requires a hospitality-minded leader who is proactive, detail-oriented, and committed to creating a seamless workplace experience for employees, guests, and stakeholders.
Key Responsibilities:
Leadership & Operations Oversight
Supervise and support a team responsible for daily workplace services; provide coaching, direction, and performance oversight. Monitor and maintain high service standards across all workplace functions. Act as the main point of contact for escalations, special requests, and VIP support. Coordinate cross-functional services and ensure smooth execution of daily operations, projects, and events.
Reception & Guest Services
Welcome guests and employees warmly and professionally; provide concierge-level support. Standardize communications (calls, emails, in-person) with approved scripts and service protocols. Manage visitor access and security coordination, including ID badge requests and building work orders. Maintain an organized, polished reception area and coordinate messenger services as needed.
Meeting Room Management
Conduct regular floor walks to ensure meeting rooms are clean, organized, and stocked. Manage all aspects of room bookings, setups, AV needs, and catering coordination. Provide real-time support during meetings, including VIP/client sessions, ensuring a seamless experience. Act as first-level AV support and liaison with IT or vendors when needed.
Pantry & Hospitality Services
Oversee pantry upkeep with "white glove" standards-ensuring cleanliness, organization, and inventory rotation. Coordinate kitchen supply orders and establish JIT (Just-in-Time) processes to minimize waste. Manage daily food deliveries, stocking, and disposal of expired items. Monitor inventory levels and support procurement of pantry and conference room supplies.
Food, Beverage & Event Support
Manage catering orders, ensuring timely delivery, setup, and clean-up for meetings and events. Support onsite and offsite events (e.g., holiday parties, corporate outings) with logistics and vendor coordination. Track inventory of food and beverage supplies and manage restocking as needed.
Mailroom, Logistics & Supplies
Oversee incoming/outgoing mail and packages, including sorting, distribution, scanning, and outbound shipping. Replenish printer and copier paper, and provide first-level support for printing and mail equipment issues.
Facilities Coordination
Submit service tickets and coordinate with building management or service vendors for facility needs. Track resolution of facility issues such as lighting, spills, or equipment breakdowns.
Qualifications:
3+ years of experience in workplace services, facilities, or hospitality, with at least 1 year in a supervisory or lead capacity. Strong interpersonal and communication skills; ability to lead a team in a professional service environment. Proficiency in room booking systems, AV support, and Microsoft Office Suite. High attention to detail and ability to multitask in a fast-paced, client-focused environment.
