The San Francisco Symphony is widely considered to be among the most artistically adventurous and innovative arts institutions in the U.S. Under the artistic direction of Esa-Pekka Salonen, the Orchestra is a leading presence among the American orchestras at home and around the world, celebrated for its artistic excellence, creative performance concepts, active touring, award-winning recording, and standard-setting education programs. Esa-Pekka joined the San Francisco Symphony in 2020 along with a group of eight Collaborative Partners from a variety of cultural realms who collectively form a new artistic leadership model.
The San Francisco Symphony presents more than 220 concerts and presentations annually for an audience of nearly 450,000 in its home of Davies Symphony Hall and through its active national and international touring. A Cornerstone of the organization’s mission, the San Francisco Symphony’s education programs are the most extensive offered by any American orchestra today, providing free comprehensive music education to every first- through fifth-grade student in the San Francisco public schools, and serving more than 75,000 children, students, educators, and families annually.
The SFS has won such recording awards as France’s Grand Prix du Disque and Britain’s Gramophone Award, as well as 15 Grammy Awards.
In 2004, the SFS launched the multimedia Keeping Score on PBS-TV and the web. In 2014, the SFS inaugurated SoundBox, a new experimental performance venue and music series located backstage at Davies Symphony Hall. SFS radio broadcasts, the first in the nation to feature symphonic music when they began in 1926, today carry the Orchestra’s concerts across the country. In 2021, SFS+, a digital streaming platform, was launched to subscribers all over the world.
Job Summary
The
Operations Coordinator
reports to the Director of Venue Operations to support the Symphony’s day-to-day administrative scheduling and workplace operations. The Operations Coordinator is responsible for assisting with the management of the Symphony’s master scheduling procedures as well as office and workplace services.
Essential Functions & Responsibilities
Administrative Support
Assists the Director of Venue Operations with booking and scheduling operations for the entire organization. Assists with the tracking, forecasting, and processing of rent payments and schedule submissions in accordance with the Symphony’s agreement with the SF War Memorial and Performing Arts Center. Manages the annual Orchestra calendar process, including program and schedule data entry, proofing, printing, and distribution. Monitors, tracks, and reports on Venue Operations department expenditures. Participates in regular Front of House walkthroughs with the Director of Venue Operations and Facilities Manager, tracking and addressing all facilities issues in the Davies Symphony Hall public assembly areas.
Office and Workplace Services
Responsible for mailroom operations including processing incoming and outgoing mail, tracking postage, managing large deliveries, and maintaining inventory of mailroom supplies. Manages inventory of office supplies and workspace equipment. Assists Facilities Manager with e-waste and junk pickup as well as offsite storage services. Assists with the management of Amazon and other e-commerce business accounts. Ensures all copy machines are serviced and functional through external vendors. Ensures kitchen, custodial, and drinking water supplies are tracked and stocked. Manages office supply inventory ensuring all spaces are stocked throughout the building and refill orders are tracked and placed as needed. Responsible for the appearance and upkeep of all shared and multiuse spaces including the Staff Lounge, Kitchen, Wattis Room, and Green Room. Assists Facilities Manager with vital records storage and destruction. Monitors security access lists and assist with ID badge distribution. Assists the Facilities Manager with loading dock operations including incoming/outgoing deliveries, communication with vendors, and movement of deliveries from the loading dock throughout the building. Assists other departments with storage needs throughout the building.
Qualifications
QUALIFICATIONS
One or more years of experience in a performing arts environment or relevant experience strongly preferred. Demonstrated proficiency with Microsoft Office Suite and Windows environments, including effective troubleshooting skills. Familiarity with standard building and facilities equipment is highly preferred. Knowledge of budgeting and administrative tasks such as scheduling, record-keeping, and data entry. Ability to prioritize and multitask in a busy department is required. Punctuality is a must as this position requires on-site activity during normal business hours. Occasional lifting of up to 50 lbs. required. Standing for prolonged periods of time may be required.
