Office Specialist (Temporary)
Join the dynamic team at the State of Nebraska's Department of Health and Human Services, Division of Public Health, as a full-time Temporary Office Specialist! This is a one-year assignment based in Omaha, supporting the Health Licensure and Investigations Unit. As an Office Specialist, you will play a key role in providing administrative support and excellent customer service to the Office of Children's Services Licensing.
Job Duties:
- Organize and scan archived and current licensing paper files for conversion to electronic files. Format and upload newly created electronic files onto licensing database.
- Work with statewide licensing staff to transfer paper files for conversion to electronic files.
- Provide coverage for Office Technician: answering phones, assisting walk-ins, processing and uploading licensing documents to the public website.
- Provide coverage for Office Specialist positions.
Requirements/Qualifications
Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; OR experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications:
At least 1 year office experience.
Experience with Office Equipment primarily scanner/copiers.
Knowledge of Microsoft Office Suites.
Familiarity with confidentiality practices such as HIPAA.
Knowledge, Skills, and Abilities:
Knowledge of general office procedures, data entry, and recordkeeping
Familiarity with confidentiality practices such as HIPAA
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong organizational skills with attention to detail
Clear and professional communication, both written and verbal
Ability to manage time, meet deadlines, and work independently
Comfortable adapting to new systems and changing priorities
Able to handle sensitive information with care and discretion
