SCHOOL COUNSELING OFFICE SUPPORT CLERK Reports to: Supervisor of Counseling, Terms: 46 Weeks, 7:00 a.m. - 3:30 p.m.
Essential Job Duties and Responsibilities: Assume shared responsibility for the clerical functions of the High School counseling office and school counselors. Acquire and maintain a knowledgeable base of information concerning the total school program. Act as a liaison between the High School administration and faculty with the school community. Provide well-organized and accurate work. Other duties as assigned.
Communication: Answer phones, take messages and screen/direct calls to the appropriate counseling office staff. Set the invitational tone of the Counseling Office through presence and tone. Use language correctly and effectively. Answer student questions and assist students with needs before, during and after school. Maintain confidentiality as required and appropriate. Demonstrate an openness to discuss suggestions. Screen and channel the calls from the school community members to the appropriate Counseling staff/teachers and to the appropriate staff members. Record and handle any threatening calls that pertain to the school or its population (i.e., bomb threats, etc.). Deliver personal/urgent messages for students to classrooms. Communicate by radio/phone/email to administrators, custodians and school nurse when appropriate. Organize counseling school mailings/communications/faxes for delivery to students, parents and school counselors.
Office Organization: Coordinate the efficient workflow of the school relative to the responsibilities of the High School Counselors and Counseling Supervisor. Complete clerical and copying responsibilities for the High School counselors. Maintain and update all High School counseling office bulletin boards and displays on a monthly basis. Notify the main office manager for office equipment and building repairs and telephone equipment and service problems. Organize the Counseling Office (i.e., all district/school forms and inventory of office equipment/supplies). Make efficient use of time and resources available. Demonstrate a willingness to assist and work cooperatively with all High School colleagues from all departments. Oversee distribution of student passes. Maintain all school counselor calendars for students meetings, etc Student Enrollment/Withdrawal and Records (Assist): Maintains cumulative student files Responds to requests for records, attendance, etc. received from schools, individuals, and community agencies, (i.e.,police, social services, social security and various community agencies). Assists principals, teachers, school nurse, or parents in locating students; follows up with the school counselor's appointments to ensure that students are present; supervises students in the counseling office; completes the necessary documentation to re-admit students to class, conducts orientations for parents and students.
Homework: Take requests for homework, email requests to the teachers involved and collect homework for parent pick-up (if needed).
Working Papers: Assist students in obtaining their working papers. Working papers are done for all residents of Windsor under the age of 18 in the Counseling Department. State of Connecticut rules apply.
Other: Assist in maintaining the conference room schedules. Assist with coordination of ASVAB testing. Perform all other duties and assume other responsibilities as assigned by the Counseling Supervisor. Assist in distribution of PSAT/SAT test booklets to classrooms. Prepare all counseling materials for Advisory Lessons. Help coordinate and plan annual school counseling events (i.e., College Fair, New Student Orientations, School Visits, Book Awards, Governor's Scholarship Program, etc.). Community service record keeping and monitoring
Personal and Professional Responsibilities: Nurture a positive relationship with all staff and members of the school community. Demonstrate respect for all staff and members of the school community. Support corporation decisions and direction relative to matters of policy and administrative directives. Work as a team player. Demonstrate ability to deal with sensitive issues in a tactful and professional manner. Address concerns and offer suggestions in an appropriate and confidential manner.
Knowledge, Skills and Abilities: Considerable knowledge of the operations of the department. Ability to operate PowerSchool, Naviance, GoGuardian Ability to operate Google Suites (email, doc, sheets, powerpoint, calendar). General knowledge of common word processing, spreadsheet and file maintenance programs. General knowledge of the principles of organization and administration. Ability to transcribe information and to prepare standardized forms, letters and reports from that information. Ability to operate common office machines. Ability to process documents such as purchase orders, invoices, etc. Ability to sort and distribute documents. Ability to maintain complete and accurate records and to develop standard reports from those records. Ability to respond to questions based on considerable knowledge of the department. Ability to understand and follow oral and written instructions. Ability to type accurately at a moderate rate of speed. Ability to establish and maintain effective working relationships as necessitated by work assignments.
