Office Manager

Permanent Location:
Needham, Massachusetts $30-35/hour Administrative Support: Provide general office support and organization across a team of ~50 staff members Answer and direct incoming calls; gather and manage patient information Welcome and assist patients and visitors Schedule, update, and manage appointments Scan, fax, file, and maintain documents Support clinical and administrative leadership Assist with basic technology needs (e.g., phone and server troubleshooting) Maintain and manage office systems and databases Billing and Finance: Oversee client billing processes and assist with monthly accounts receivable Monitor accounts sent to collections Manage all financial transactions including invoicing, payments, and reconciliations Maintain the general ledger and prepare management reports Utilize QuickBooks (PC-based) for bookkeeping functions Conduct strategic data analysis and reporting for senior leadership Human Resources: Handle HR administrative tasks including onboarding and offboarding Credential clinicians with insurance companies Administer staff benefits, health and dental insurance enrollment/changes, and COBRA compliance Ensure compliance with HR policies and BNS guidelines
Work Environment & Details Schedule:
Monday to Friday, 8:00 AM – 5:00 PM (some flexibility with hours) Location:
Onsite in Needham, MA, 5 days/week; occasional remote work allowed for emergencies or inclement weather Team:
Collaborates with 4–5 administrative staff; no direct reports or delegation Tech:
Mac-based office; QuickBooks (PC version) is used for accounting Compensation:
$30–$35/hour depending on experience
