Division/Program Summary Description
The Division of Family and Child Health (DFCH) of the New York City Department of Health and Mental Hygiene is charged with the creation and oversight of programs, policies, services, and environments that support physical and socio-emotional health, and promote primary and reproductive health services, health equity, social justice, safety and well-being for New York City families and children. The Division is comprised of the Bureau of Maternal Infant and Reproductive Health, the Bureau of Early Intervention, the Office of School Health, and the Bureau of Administration. The vision of the DFCH is that every child, woman, and family recognize their power and is given the opportunity to reach their full health and development potential.
Position Summary
The Principal Administrative Associate/ Office Manager will oversee the operations of the Office; particularly referrals and electronic case processing and will also supervise several staff.
Job Duties And Responsibilities
- Ensure smooth office operations and workflow of the Regional Office.
- Supervise the Assistant Office Manager and oversee Clerical staff and oversee the Electronic Case Files for the office, ensure staff are adhering to the protocol and files are being created and stored properly.
- Ensure Electronic Case Files are archived appropriately and manage the Child Outcome Study project.
- Manage inventory of office supplies and submit quarterly supply orders.
- Work with dynamic team to build commitment to the program goals and initiatives, by working closely with all levels of staff.

PRINCIPAL ADMINISTRATIVE ASSOC - 10124
Minimum Qualifications
- A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
- An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
- A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
- Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.
- Ability to monitor timelines and work under pressure to address regulatory deadlines -Clerical skills (e.g., copying, scanning, upload/attach, filing and mailing) -Computer Skills -Excellent phone etiquette and customer service skills -Excellent communication skills, both verbal and written

Residency Requirement
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
