Academy of Art University’s globally acclaimed School of Fashion is seeking to hire an
Administrative Assistant
to join their dynamic team. This is a full-time, on-site position in San Francisco and is perfect for anyone interested in fashion, the arts, and working in higher education.
Front Desk Duties
Provide exceptional customer service for faculty, students, staff, and guests by answering questions and directing traffic as needed.
Answer calls, handle mail (incoming and outgoing), redirect to appropriate personnel, and maintain department files.
Set up calendars and schedule appointments for Directors and Full-Time Faculty using electronic calendar systems.
Assist with special events as needed.
Oversee the schedule of college work-study students and delegate duties accordingly.
Order and stock office supplies for two buildings.
Ensure the office remains organized.
Administration / Curriculum Support
Coordinate with departments such as Academic Support and Curriculum.
Process maintenance and signage requests for two buildings, maintain master requisition logs, and update contact lists for faculty and staff.
Assist Directors and full-time faculty with curriculum forms and new hires in a timely manner.
Approve student flyers for posting.
Faculty / Academic Support
Serve as a liaison between faculty and administration.
Track grades and attendance in LMS, and monitor midpoint and final reviews to schedule meetings.
Assist faculty with travel and expense reports.
Keep faculty updated on department announcements, meetings, grades, guest speakers, and student activities.
Complete special projects and other tasks as assigned.
Student Support and Equipment Management
Coordinate with Student Reps and Instructors, assist with project collection and return, and support faculty requests for student auditions, shoots, and rehearsals.
Manage equipment for two buildings, schedule maintenance, and track inventory.
Qualifications
Proficiency with Adobe Suite, MS Office, and MacBook preferred; ability to learn new programs quickly.
At least one year of office experience.
Passion for student success and higher education.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Ability to work independently in a dynamic, deadline-driven environment.
This role is based on-site at 625 Polk Street, San Francisco.
Compensation:
$22.00 per hour
