Accounting Administrative Specialist

They are looking for a sharp, detail-driven Accounting Administrative Specialist to take charge of their bookkeeping and bring high-level support across multiple departments to keep their operation running smoothly and efficiently.

Essential Functions and Duties:
Support the finance manager with accounting tasks including bill entry, invoicing, estimating, expense tracking, reconciliations, and financial recordkeeping
Oversee office operations such as scheduling, email and phone communication, Dropbox file management, and travel coordination
Maintain compliance records for DOT fleet inspections and window/door certifications; assist fabrication teams and contractors with certification requirements
Coordinate procurement and logistics by generating purchase orders, negotiating with vendors, tracking deliveries, managing shipments (domestic and international), and maintaining inventory records
Handle customer service functions including inquiries, warranty claims, and small parts ordering; work with the service team to ensure accurate fulfillment and follow-up
Create and maintain documentation including reports, spreadsheets, and SOPs; collaborate with internal teams to improve administrative, marketing, and customer service processes
Qualifications:
Proven experience as an Administrative Assistant or in a similar role
Strong organizational and multitasking skills
Strong knowledge of accounting principles and excellent understanding of QuickBooks Online
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Worksuite, Dropbox
Excellent communication and interpersonal skills
Prior experience in a construction or fenestration related industry preferred
Experience with International Freight preferred
High school diploma or equivalent; additional qualifications in office administration or related field are required
