This is an onsite position at 5570 Executive Parkway, Grand Rapids, MI. This role reports to the Association President. This role is an individual contributor without direct reports. Part-Time: This role typically works 15 hours a week, but schedule can flex up to 20 hours/week depending on the accounting season. About the Role We are looking for someone who is detail-oriented and trustworthy to join our dynamic team. This person would fill the key role of Accounting Administrator; maintaining accurate financial records, administering the association payroll practices, in all to support a smooth financial operation. The ideal candidate is someone who is comfortable working independently, has strong organizational skills, and values accuracy. Responsibilities Maintain accurate records of financial transactions Maintain clean and organized digital files for reporting and audit readiness Manage accounts receivable processes, ensuring timely invoicing and collections Process accounts payable Process payroll for the TEA staff Liaison to the third-party administrator supporting TEA employee benefits, including 401k deductions, health insurance premiums, open enrollment Reconcile bank and credit card statements Handle invoicing and member dues billing Reconcile general ledger accounts to ensure accuracy and completeness of financial records. Generate monthly financial reports for board presentations Support TEA tax filings to ensure compliance with EFTPS and state taxes Help coordinate yearly financial review with our accounting firm Prepare and maintain accurate financial statements in compliance with applicable regulations. Collaborate with other departments to gather necessary financial data for reporting purposes. Required Qualifications Proficiency in QuickBooks Online this is a must Experience with ADP payroll systems Familiarity with reconciling bank and credit card accounts Strong attention to detail and ability to work independently Proficient in Microsoft 365, including strong skills with Microsoft Excel Excellent analytical skills with attention to detail, ensuring high levels of accuracy in all tasks performed. Strong organizational skills with the ability to manage multiple priorities effectively within deadlines. Preferred Experience Exposure to a CRM or AMS database (such as IMIS, Salesforce, MemberSuite, or other association management systems). Conduct budgeting and forecasting activities to support financial planning. Non-profit or not-for-profit experience supporting the board in financial operations. Experience with a base license of Microsoft Copilot would be a plus. Perform cash flow analysis to monitor liquidity and operational efficiency. Conduct account analysis to identify discrepancies and propose corrective actions. Physical Requirements Ability to sit for extended periods while working at a computer. Occasional lifting of office supplies and equipment up to 20 pounds. Ability to move freely around the office to access files and interact with colleagues. Manual dexterity required for operating office equipment such as computers, printers, and telephones.
